Job summary

Total Facilities Recruitment Limited in Glasgow is seeking a Facilities Coordinator to support the Facilities and Workplace team on a temporary basis. You will respond to workplace requests, resolve issues and help maintain a safe, welcoming environment for tenants and colleagues.

The role focuses on day-to-day operations, coordinating bookings, assisting with moves and ensuring high standards of cleanliness and safety across shared spaces, with Monday–Friday working patterns.

Responsibilities

• Coordinate the day-to-day running of the workplace and ensure facilities are operating smoothly.
• Act as the main point of contact for workplace and facilities-related queries.
• Liaise with tenants, employees, contractors and the Facilities Management team.
• Coordinate maintenance requests and follow up on outstanding issues.
• Carry out regular workplace inspections to ensure the building is safe, clean and well maintained.
• Monitor meeting rooms, breakout areas and communal spaces to ensure they are ready for use.
• Coordinate meeting room and hot desk bookings.
• Assist with office moves, relocations and changes to workplace layouts.
• Manage workplace supplies, including stationery, kitchen supplies and other consumables.
• Monitor stock levels and arrange replenishment when required.
• Support contractors and service providers attending site.
• Maintain accurate records of facilities requests, maintenance issues and workplace activities.
• Assist with health and safety checks and report any issues to the relevant Facilities Manager.
• Support planned maintenance, inspections and building projects.
• Help ensure workplace policies and procedures are followed.
• Respond to employee and tenant requests promptly and provide appropriate solutions.
• Help maintain a professional, welcoming and well-presented working environment.
• Build positive working relationships with tenants, colleagues, contractors and external stakeholders.
• Escalate significant facilities, maintenance or workplace issues to the appropriate manager.
• Provide general administrative support to the Facilities and Workplace Management team.
