BCUHB North Wales invites applications for a Facilities Coordinator within Facilities (Central). The role supports the Facilities Management Team in delivering efficient operational services across Portering Services, with site duties at Ysbyty Glan Clwyd and occasional community work.

Qualifications

  • Diploma level or equivalent experience.
  • Certificate in Supervisory Management is desirable.
  • Supervisory/management experience within a Facilities or similar Department.
  • Substantial experience within departments with a Facilities function.
  • Excellent interpersonal and customer care skills.
  • Able to travel between multiple sites.
  • Ability to undertake personal development reviews.
  • Ability to use own initiative and organise workloads.
  • Willing to work flexibly.
  • Computer literate with good keyboard skills.
  • Able to maintain confidentiality.
  • Ability to work as part of a management and operational team.

Responsibilities

  • Coordinate day-to-day activities of operational staff within Portering Services.
  • Authorise annual leave and complete digital rosters; raise purchase orders.
  • Deal with Portering Service vehicles, Medical Cylinder deliveries and stock checks.
  • Provide support in the development of service improvements and undertake tasks/projects.
  • Mentor staff and record training; conduct staff appraisals.
  • Monitor conduct and escalate issues; ensure records are accurate and compliant.
  • Use computer software to produce rotas and PDAs; maintain data integrity.

The Facilities Coordinator will support the Facilities Management Team in the delivery of efficient and effective operational services provided by Facilities, within the locality concentrating mostly on Portering Services.

An opportunity has arisen for a passionate, friendly and enthusiastic individual to work as a Facilities Coordinator within Facilities (Central). The Facilities Coordinator will support the Facilities Management Team in the delivery of efficient and effective operational services provided by Facilities, within the locality concentrating mostly on Portering Services.

In conjunction with peers, co-ordinate and organise day to day activities of the operational staff within Portering Services. Based in Ysbyty Glan Clwyd but working in the Community when required.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Main duties of the job

The post holder is a key member of the Facilities team. They will authorise annual leave of Porters, complete digital rosters, raise purchase orders, deal with the Portering Service vehicles, Medical Cylinder deliveries and stock checks, etc. as well as deal with daily operational issues. They will also be required to provide support in the development of service improvements and assist with or undertake specific tasks/projects as required.

They will participate in the local induction of new staff members and record accordingly. Act as a mentor for operational staff, providing in-house training and assessing competence where appropriate. Maintain records of training and development.

Undertake staff appraisals for operational staff. Assess any training or development requirements highlighted during the assessments and report to the Facilities Management Team. Assist in all elements of management of staff, e.g. sickness absence meetings, recruitment, Respect & Resolution.

Monitor the conduct of staff under area of responsibility during the course of their duties in line with BCUHB policies and procedures, advising staff when their conduct falls outside of expected standards and escalating if improvements are not achieved. Regularly use computer software to produce rotas, Personal Development Reviews, etc. and to ensure all records are accurate, up to date and comply with the Data Protection Act.
