Reporting to the Lead Coordinator based in Coventry and working closely with teams in Coventry, Liverpool, and Oxford.
The Facilities Coordinator will support the Facilities and Workshop Maintenance teams in executing reactive and preventative maintenance successfully.
Main Responsibilities:
- Support the Facilities Management team in delivering KPIs.
- Book external contractors for maintenance on workshop and facilities equipment.
- Review service contracts for workshop and facilities equipment.
- Assist in capturing maintenance costs across all sites, including planned/reactive maintenance and utilities data.
- Ensure external contractor documentation is obtained and uploaded onto the CAFM system.
- Assign and log jobs through a maintenance management system.
- Act as a point of contact for the Maintenance Helpdesk.
- Provide data to support workshop and facilities KPIs upon request.
- Maintain an up-to-date asset list for buildings and workshops.
- Create and update job schedules.
- Upload electronic OEM manuals for machinery to CAFM or maintenance systems.
- Create work orders for preventative maintenance of equipment and plant.
- Keep logs of equipment breakdowns.
- Obtain quotations and raise purchase requests.

Essential Skills/Qualifications/Experience:
- Experience in administration or coordination roles.
- Ability to deliver tasks on time.
- Planning experience preferred.
- Experience managing multiple disciplines.
- Strong IT skills.
- Candidates with less experience may be considered if they demonstrate relevant skills.
