Job summary

Racelogic seeks a Facilities Coordinator to ensure the Buckingham site runs safely and smoothly, handling day-to-day operations, maintenance coordination, and stock and travel tasks.

You will manage supplier accounts, budgets and onboarding/leaver logistics, working closely with the Head of Purchasing and Administration to support staff and keep facilities records up to date.

Responsibilities

  • Budget tracking and expenditure recording for facilities.
  • Process internal stock requests and arrange business travel.
  • Manage company vehicle fleet, onboarding/leaver logistics.

As part of our continued growth, we are seeking a Facilities Coordinator to play a key role in the day-to-day running of Racelogic’s Buckingham site.

Role Summary

The Facilities Coordinator looks after the day-to-day running of Racelogic’s Buckingham site, keeping the building safe, well maintained and working smoothly for our employees. They are the first point of contact for facilities queries, coordinate contractors and planned and reactive maintenance, and keep facilities records, supplier accounts and spend in good order. Alongside this, the role provides wider operational support to the business, covering internal stock requests, business travel, the company vehicle fleet, and the practical side of new starter onboarding and leaver processing. Working closely with the Head of Purchasing and Administration, the Facilities Coordinator resolves everyday issues independently, escalates anything beyond the role’s authority promptly, and acts as a helpful, reliable point of contact for staff on all of these matters.

Responsibilities and Duties
Facilities and Building Services
  • Day-to-Day Operation: Coordinate the day-to-day running of the building and facilities, acting as the first point of contact for facilities-related queries and requests.
  • Maintenance: Coordinate planned and reactive maintenance with contractors, suppliers and service providers, ensuring issues are resolved promptly.
  • Building Services: Monitor cleaning, security, waste management and other building services, and ensure they are delivered to the required standard.
  • Workspace: Assist with office moves, workspace planning and general workplace requirements.
  • Records: Maintain accurate facilities records, including maintenance schedules, service reports and contractor documentation.
  • Supplies: Ensure adequate stock levels of office, clothing and facilities supplies.
Health, Safety and Compliance
  • Health and Safety: Support day-to-day health and safety procedures, reporting hazards and maintenance concerns and helping to keep the workplace compliant with relevant health, safety and environmental standards.
  • Emergency Arrangements: Support emergency procedures and business continuity arrangements.
Purchasing and Account Administration
  • Company Credit Card: Hold a company credit card for facilities and operational purchases, recording and reconciling spend in line with company policy.
  • Supplier and Utility Accounts: Administer utility and service provider accounts, process invoices and statements, and query and resolve discrepancies so that accounts stay up to date and are paid within agreed terms.
  • Budget Tracking: Maintain records of facilities expenditure, purchase orders and invoices to support budget monitoring and reporting.
Business Support
  • Stock Requests: Process and coordinate internal stock requests.
  • Business Travel: Arrange business travel for staff, including flights, hotels and taxis.
  • Company Vehicles: Manage the company vehicle fleet, including servicing, MOT, insurance and driver compliance records.
  • Starters and Leavers: Coordinate the practical side of new starter onboarding (e.g. Uniform and IT kit) and leaver processing (e.g. lockers, key cards and IT kit returns).
About You
  • Previous experience in a facilities, workplace or office coordination role.
  • Experience coordinating contractors and external service providers.
  • A good understanding of workplace health and safety requirements.
  • Excellent organisational and time-management skills, with the ability to prioritise a busy and varied workload.
  • Strong communication and customer service skills, comfortable dealing with staff at all levels and with external suppliers.
  • Good problem-solving skills and a practical, hands‑on approach to getting things fixed.
  • Strong administrative and IT skills, including Microsoft Office.
  • Able to work independently and use initiative, while collaborating effectively as part of a team.
  • A proactive, flexible and professional approach, with a willingness to adapt to changing priorities.
  • Full UK driving licence.
