About the role:

We are a dynamic, solution driven Facilities Management team with high quality service at the forefront of everything we do. An exciting opportunity has arisen for a Facilities Assistant to join the Manchester team. We are looking for a motivated, hands on individual with a background in Facilities Management. The ideal candidate will be a team player, with great organisational skills, dedicated and committed to making a positive impact on our office environment.

As the Facilities Assistant, you'll be responsible for supporting the delivery of an efficient, effective, and flexible facilities service, to enable the successful operation of the property.

The main purpose of this role is to help with the effective running of the Facilities function for our Manchester office. You will ensure systems and services are delivered professionally and efficiently, liaising effectively with team members, building management and external contractors.

You will work a 37.5 hour week, with shifts between 8am - 5:30pm Monday - Friday and be required in the office 5 days a week.

Following your application being reviewed, you can expect the below:

Stage 1 - Introductory call with a Talent Specialist

Stage 2 - Getting to know and a short role-related interview with the Facilities Manager

Stage 3 - Role-related interview with our Director of Property and other facilities team

Your responsibilities will include:

  • Be a welcoming face in the Manchester office, taking care of our employees and guests. Online communication with our employees via email and Slack, answering any queries or concerns
  • Complete reception duties when needed
  • Daily building walk rounds, reporting faults, building issues and housekeeping. Ensuring the office, meeting rooms and kitchens are tidy and fully stocked with refreshments. Carry out floor walking activities ensuring all areas are tidy, clean, organised and presentable
  • Taking on new tasks and assisting the wider UK Facilities team as and when required
  • Receiving and processing the organisation's incoming and outgoing post and following due procedures
  • Various administrative tasks to support the business; printing and posting ad hoc letters received in the Facilities inbox
  • Health and Safety responsibilities including admin and updating H&S signage/info posters
  • Log all issues (air con temperature, lighting, broken doors/furniture, utility usage etc), organising repair works with building management and contractors
  • Ensure external contractors attend site as per maintenance schedule and that all necessary documentation including RAMS and training certificates are available in advance
  • Act as a First Aider, Fire Warden for the office
  • Assisting with the receiving of goods and equipment and storing deliveries
  • Assisting with the on site merchandise, stock, deliveries and distribution
  • Maintain open communications and relationships with colleagues, suppliers and stakeholders to help improve service levels


Requirements

  • Experience working within a corporate facilities team
  • Approachable and enthusiastic, with close attention to detail, ability to juggle a range of tasks in a frontline role and first class customer service skills
  • Comfortable working within a fast-paced and varied role at the heart of our business with a can do attitude, who is flexible, professional and proactive
  • Effective communication abilities
  • Can operate calmly under pressure with a strong customer focus.
  • Able to demonstrate a professional and organised approach to the role
  • Logical thinker, able to spot errors and resolve queries
