Our Residential Sales team here at Bidwells is recruiting a Client and Applicant Care Coordinator on a 12-18 month Fixed Term Contract covering a maternity leave (dependent on start date). Bidwells' Residential team provides an unrivalled service for the sale and letting of a wide range of property, from new homes and period cottages to town and country houses. Each property is handled by a partner or senior agent with expertise, knowledge, and experience of the local market.

The Residential Sales team has a reputation for providing a first-class service to its clients, vendors, and purchasers. The team offers specialist expertise from valuation to moving-in day.

What you’ll be doing:
  • Be the first point of contact for daily phone and email sales inquiries for the Residential Sales department.
  • Manage the department's shared inbox.
  • Arrange preview visits, viewings, and surveyor visits, liaising with vendors and applicants as necessary.
  • Register new applicants on the Reapit database and match their search requirements to available properties.
  • Maintain and cleanse the Reapit applicant database regularly; communicate with clients.
  • Maintain, update, and audit the key list and alarm sheets for active properties; liaise with vendors for keys.
  • Create a property information page for each new listing using OneNote.
  • Support the viewing guide team with daily inquiries and update the viewing diary.
  • Add viewing feedback from sales viewings to Reapit.
  • Prepare keys, update records, arrange champagne, and handle key release forms for completions.
  • Order and arrange collections of for-sale boards.
  • Maintain and update the brochure drawers and filing system.
  • Add new brochures to the comparables filing system.
  • Share responsibility for creating and posting department social media posts.
  • Create and send Dotmailers bulletins for new instructions, checked by the sales team for accuracy.

  • Experience with OneNote, Teams, Outlook, and Word.
