Job description

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties include supporting facilities managers and their teams, assisting with daily office needs, and managing general administrative activities.

Part-time 22.5 hours a week

Main aspects of the role include:
  • Handling administration tasks related to all facilities teams’ live projects.
  • Liaising with suppliers/contractors to ensure tasks are on track.
  • Setting up new suppliers on the DSV system.
  • Updating testing records for Gateway House (Purfleet) and Scan House (Harwich) facilities.
  • Updating the property database.
  • Compiling tender documents with the Facilities team.
  • Preparing monthly reports for directors and the sustainability team, covering solar projects, EV charging projects, and future initiatives.
  • Monitoring cleaning services at Scan House and Gateway House, liaising with the facilities team and cleaning companies.
  • Performing any other reasonable requests from the facilities team.
Procurement roles include:
  • Ordering pre-printed stationery for the UK, obtaining prices, raising purchase orders, monitoring stock levels, and handling ad-hoc matters.
  • Maintaining up-to-date costings, arranging bulk deliveries, providing quarterly updates to Lyreco, and communicating price increases.
  • Authorising logins, ordering uniforms, managing portal items, and handling ad-hoc matters with Veltuff.
  • Adding new users to CWT systems when needed.

This role will evolve as the team expands their roles around UK-based projects.
