Job description

THE·TEAM is proud to provide representation and marketing services to talent, brands and properties across 28 countries and more than 70 cities worldwide. Our live group specialises in delivering branding and signage, custom fabrication, live event production and experiential operations across sports, music, entertainment and culture. Working with the world’s most iconic properties and brands, we elevate live events to make them unforgettable. Shaped by our belief in the unifying power of sports, music and entertainment, THE·TEAM leads with intelligence, ideas and influence. For more information, please visit the.team. This Experiential Event Operations/Production Executive role sits within LIVE·TEAM's Brand Experience Division on the Lidl account, and is split evenly between two functions: local store marketing account executive, working with the Account Manager and Account Director to deliver brand experiences up and down the country, and production coordinator, supporting the Operations Producer across live event and experiential delivery. This will be a hybrid working role, working from both our London and Orpington office.

WHAT YOU WILL BE DOING:
Local Store Marketing (50%)
  • Act as day-to-day point of contact for Lidl's regional teams, gathering information and coordinating local store event details
  • Oversee stock levels and process orders for in-store collateral items
  • Schedule staff shifts and manage event bookings
  • Work with Lidl's internal teams to facilitate the creation of event vouchers
  • Provide regional teams with regular event progress updates via Lidl's WorkstreamX software
  • Compile client responses and presentations; contribute ideas in brainstorms
Production Coordination (50%)
  • Prepare crew briefs, call sheets, load lists, accreditation lists and install guides
  • Coordinate hotels, travel, parking, site access and accreditation for crew and suppliers
  • Support the Operations Producer with supplier sourcing, finding practical, cost-effective options
  • Attend warehouse days, pre-production meetings, site visits, installs and de-rigs
  • Help manage last-minute changes calmly during live delivery; track snags through to completion
  • Support post-event reconciliation and stock returns
Shared Across Both Sides
  • Raise purchase orders, gather supplier quotations, and track and reconcile budgets
  • Manage supplier relationships across LSM and production requirements
  • Maintain project schedules, trackers, action lists and deadlines across multiple live projects
  • Join client and internal meetings; keep on top of actions and deadlines in weekly team meetings
  • Assist with RAMS, insurance certificates and other event compliance paperwork
  • Keep project folders, supplier details and documentation organised and current
THE SKILLS AND EXPERIENCE YOU NEED:
  • Experience in account handling, production coordination, experiential or live events, or brand activations
  • Strong organisational skills, able to manage several projects simultaneously to tight timescales
  • Confident building and maintaining relationships with clients, suppliers, crew and colleagues
  • Clear written and verbal communication, with strong attention to detail
  • Numerate and comfortable handling quotations, purchase orders and budgets
  • Good working knowledge of MS Word, Excel, PowerPoint and Outlook
  • Practical problem-solver who researches options and recommends solutions, not problems
  • Working understanding of event health & safety and RAMS
  • Full, clean UK driving licence; confidence driving vans is a plus
  • Proactive, and comfortable taking ownership without needing every action explained
  • Calm under pressure and when plans change or deadlines tighten
  • Adaptable, practical and willing to get hands-on
  • Able to judge what to resolve independently versus what needs escalating
  • Collaborative and diplomatic when chasing busy internal teams
  • Happy with early starts, late finishes, travel and occasional weekend work
  • Quick to learn, and keen to develop into managing their own projects
