Job summary

Quilter plc is seeking an experienced executive assistant to provide high‑quality support to two ExCo members. You will manage complex diaries, coordinate UK and international travel, and handle confidential information with discretion.

In addition to diary and travel management, you will draft correspondence, prepare materials for senior stakeholders, and support governance and process improvements using approved AI tools.

Qualifications

  • Proven experience providing PA or executive support to senior executives or equivalent senior leaders in a complex organisation.
  • Strong written communication and numerical skills, demonstrated through relevant experience.
  • Strong experience of complex diary, meeting and UK and international travel management.

Responsibilities

  • Provides proactive and complex diary management for two ExCo members, using sound judgement to prioritise time, resolve conflicts and align schedules with business priorities.
  • Coordinates internal and external meetings, including scheduling, rooms or virtual access, visitors, refreshments, agendas and meeting materials.
  • Organises efficient UK and international travel, accommodation and transfers, anticipating changes and resolving issues promptly.
  • Plans and coordinates team events, offsites, workshops and management meetings, managing logistics, communications and follow‑up activity.
  • Manages expenses, purchase orders and related administration accurately and in line with policy.
  • Supports inbox management by triaging correspondence, highlighting priorities and drafting clear, timely responses with appropriate authority and oversight.

About the Role

Quilter’s Executive Committee (ExCo) is the senior leadership team responsible for the day-to-day management of the Group and for supporting the development and delivery of its strategy. Working collectively across Quilter’s businesses and functions, ExCo provides leadership, sets priorities, oversees business performance and ensures effective management of customer outcomes, people, risk, regulatory obligations and operational delivery. This role provides trusted, proactive and high-quality executive PA support to two ExCo members. You will work closely with the wider ExCo support network and colleagues across Quilter. It offers opportunities to broaden executive-support, governance and business‑coordination experience through peer collaboration and knowledge sharing. Main stakeholders include: ExCo members; Board and Non‑Executive Director offices; senior leaders and their support teams; colleagues across central functions and business areas; and external visitors, suppliers and professional contacts.

Key responsibilities

  • Manages expenses, purchase orders and related administration accurately and in line with policy.
  • Supports inbox management by triaging correspondence, highlighting priorities and drafting clear, timely responses with appropriate authority and oversight.
  • Prepares and quality‑checks correspondence, presentations, reports, briefing materials and other documents for senior audiences.
  • Attends meetings as required, captures accurate decisions and actions, and follows up with owners to support timely delivery.
  • Uses approved digital and AI tools to support efficiency, for example by producing first drafts, summarising information, organising actions and improving document quality, while applying human judgement and checking outputs for accuracy.
  • Handles confidential, personal and commercially sensitive information with discretion.
  • Uses AI and other technology in accordance with Quilter policies, information‑security requirements and data‑protection standards.
  • Identifies and implements improvements to processes, tools and ways of working that enhance service quality, collaboration and productivity.
  • Builds effective relationships across the ExCo support network, provides cover for senior PAs and supports wider ExCo priorities when required.
  • Maintains accurate records and applies relevant policies, procedures and controls to support effective risk management and regulatory compliance.

About You
Essential
  • Proven experience providing PA or executive support to senior executives or equivalent senior leaders in a complex organisation.
  • Strong written communication and numerical skills, demonstrated through relevant experience.
  • Strong experience of complex diary, meeting and UK and international travel management.
  • Advanced working knowledge of Microsoft 365, including Outlook, Teams, Word and PowerPoint, with confidence learning new systems.
  • Ability to produce concise, accurate correspondence, presentations, meeting records and briefing materials for senior audiences.
  • Understanding of confidentiality, data protection, information security and the risks associated with handling sensitive executive information.
  • Practical understanding of how approved AI tools can support administrative efficiency, with the ability to validate outputs and apply appropriate human oversight.
Desirable
  • Experience within financial services or another regulated environment.
  • Experience using SharePoint, Workday, Coupa and travel or expense‑management systems.
  • Experience using enterprise AI assistants or automation tools to support meeting preparation, drafting, summarisation or action tracking.
