Executive Assistant to MD

Location: London, SW1W 0SR

Full Time, Maternity Cover followed by potential permanent role

Competitive Salary

Working Hours: 40hrs between Mon – Fri (3-4 days a week from the office)

Holidays: 25 days plus bank holidays

We have an excellent opportunity for anExecutive Assistant to join our fast-paced London Team. This role will be a 9-month cover of maternity leave where you will benefit from getting to know the business from the top down; assisting the Managing Director and being the Office Manager. The successful candidate will support them with a variety of administrative activities in a very dynamic working environment.

We’re looking for a motivated Executive Assistant, who is passionate and committed to making a difference, with a great attention to detail and outstanding sense of confidentiality.

What we need you for:

As the Executive Assistant to our UK Managing Director, you will play a pivotal role in ensuring the smooth and efficient operation of our organisation.

Your responsibilities will include:

  • Provide high-level administrative and strategic support to the UK MD, supporting them to manage their time, priorities, and tasks effectively
  • Complex Diary Management for the MD; ensuring efficient support for an ever-changing calendar; aligning with other MT members and assistants across the organisation
  • Organise and coordinate meetings, including preparing agendas, taking minutes, recording and following up on action items
  • Travel and Expense Management, including travel arrangements, accommodations, and expense reports ensuring efficiently and cost-effectiveness
  • Manage and or support small scale events across the organisation including leadership offsite events and meetings and local employee engagement events
  • Ad hoc Personal Support: including but not limited to managing personal appointments and organisation
  • Take ownership of managing the London office for a team of 50, overseeing all office-related activities.

What you need to know:

To excel in this role, you should possess the following qualifications and skills:

  • Experience: Proven experience as an Executive Assistant or in a similar role, ideally supporting senior executives.
  • Organisation: Exceptional organizational and multitasking abilities to manage complex schedules and tasks effectively.
  • Excellent verbal and written communication skills, including professional email etiquette.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and the ability to adapt to new software and tools quickly.
  • High level of integrity and the ability to handle sensitive and confidential information with discretion.
  • Proactive and self-motivated with the ability to anticipate the needs of the MD and take initiative.
  • Maintain a polished and professional demeanour, representing the MD and the organization with integrity.
  • Thrive in a fast-paced environment and adapt to changing priorities seamlessly.
  • Collaborate effectively with colleagues and support a positive and inclusive workplace culture.
  • Problem-Solving: Exhibit strong problem-solving skills and the ability to handle challenges with a solutions-oriented mindset.
  • Excellent time management skills and the ability to work under pressure while meeting deadlines.
