We are excited to partner with a prestigious private institutional family office dedicated to preserving and growing wealth over multiple generations. The newly established firm is deeply committed to building a diversified multi-asset global investment portfolio, fostering international partnerships, and supporting the family's objectives while contributing to the development of the Kingdom of Saudi Arabia.

We are seeking an exceptional and highly experienced Executive Assistant to act as both the Corporate Assistant for the family office and the Personal Assistant to the MD. The ideal candidate will possess outstanding organisational skills, a high degree of discretion, and the capability to manage diverse corporate and personal responsibilities efficiently. This dynamic role is perfect for an individual who is resourceful, proactive, readily available and comfortable operating in a fast-paced environment.

This is a remote position with the family office located in Saudi Arabia. Candidates should have total flexibility with their working days and hours to accommodate the MD’s schedule and time zone, who typically splits their time primarily between Riyadh, Dubai and London. DUTIES TO INCLUDE
  • Organise and prioritise meetings, appointments, and events for the family office
  • Prepare meeting agendas, take minutes, and ensure timely follow-up for board and management meetings
  • Oversee the MD/CEO’s personal calendar and coordinate complex travel arrangements
  • Serve as the primary point of contact for calls, emails, and correspondence on behalf of the MD/CEO
  • Maintain and secure both digital and physical records, ensuring compliance with regulatory standards
  • Track office-related expenses, process reimbursements, and assist in financial reporting
  • Coordinate effectively with external advisors and service providers for smooth operations
  • Provide research assistance, prepare meeting notes, develop content, and create presentations
ESSENTIAL CRITERIA
  • 7–10 years as an Executive Assistant, ideally in a high-pressure, fast-paced environment supporting senior executives or C-suite leaders
  • A bachelor’s degree in Business Administration, Communications or a related field is preferred
  • Exceptional organisational and multitasking abilities with the ability to handle large workloads and competing priorities
  • Experience managing dual corporate and personal responsibilities with efficiency
  • Outstanding communication skills, both written and verbal; Arabic is advantageous but not essential
  • Absolute discretion and confidentiality in handling sensitive information
  • Certifications in executive assistance, office management, or project management (e.g., CAP, PMP) are advantageous
  • The ability to work autonomously and build a good working relationship with the Family Office and MD remotely
  • Willingness to adjust working hours and work outside of the standard working day
