Job description

Executive Assistant to CEO

Location: London – Hybrid working*

Role Overview

TM Forum are recruiting for an Executive Assistant (EA) to our CEO. As the EA to the CEO, you'll play a pivotal role in ensuring smooth operations and effective time management for our CEO within our global, hybrid-working environment. Collaborating closely with the Commercial Operating Officer, you'll oversee the CEO's schedule and serve as the central point of contact for the Board.

Your responsibilities will include managing the CEO's calendar, organizing travel arrangements and overseeing task tracking. Additionally, you'll play a key role in coordinating with the Executive Engagement Director (EED) to facilitate communication with the Chair of the Board and other board members. Your contributions will be crucial in maintaining the efficiency of our organization's leadership team.

This position offers a unique chance to work at the heart of our organization, supporting our CEO and contributing to the success of our company on a global scale.

Key Responsibilities including but not limited to:

  • Scheduling and co-ordination of the following executive meetings:
  • Board of Trustees,
  • Advisory Boards,
  • Senior Leadership Team meetings and workshops,
  • Management and support of CEO schedule including diary co-ordination and travel arrangements.
  • Working with the external offices of the TM Forum Chair and Board members to ensure smooth co-ordination of diary and travel arrangements.
  • Assist the COO in preparing agendas and materials for the Board and Committees and maintaining their relevant web pages.
  • Working in close collaboration with the COO and Executive Engagement Director supporting on maintaining key executive-level relationships.
  • Collate and submit relevant expense reporting for Chair and CEO.
  • Support with the coordination and cadence of Board and committee meetings, senior leadership team meetings, activities and QBRs, as well as monthly staff webinars and organization-wide activities, e.g., Senior leadership team building, seasonal All Staff celebrations.
  • Undertake specific projects on behalf of the CEO from time to time.

Experience and Qualifications

  • Previous work experience of working with a CEO / President.
  • Excellent MS Office knowledge.
  • Thorough knowledge of MS Teams and experience of using Teams to manage tasks and projects.
  • Experience of using SharePoint to organise and disseminate information.
  • Outstanding organizational and time management skills.
  • Excellent verbal and written communications skills.
  • Discretion and utmost respect for confidentiality.
  • Ability to research and collate complex travel itineraries.
  • Ambitious for themselves and TM Forum.
  • Enthusiasm to work collaboratively as part of a high-performing team.
  • Willing to travel.
  • Fun to work with.

*Please note this role is a hybrid position, you will need to be present in our when the CEO is present, this will be on average 2 - 3 days per week.
