Are you an experienced Executive Assistant with a strong interest in governance, and a longer-term ambition to move into company secretarial work?
A respected international private bank is looking for an Executive Assistant to support its Board and CEO Office, working closely with the Chief of Staff and the Company Secretary. This is a role for someone who wants more than a traditional EA position, and who is happy to build their experience step by step.
Responsibilities
- Provide executive assistant support to multiple Board members, including managing the calendars of the Non-Executive Directors, with discretion and good judgement.
- Board and Committee Support: Support the Company Secretary with the coordination of Board and Sub-Committee meetings, including scheduling, logistics, agendas and minutes.
- Papers and Actions: Coordinate and distribute Board and Sub-Committee papers on time, track Board actions and deadlines, and follow up with Executive Management to keep them on schedule.
- Governance Calendar: Manage the annual Board and Sub-Committee submission calendar.
- CEO Office: Support the CEO Office with Management Committee reporting and ad hoc diary management, and provide cover for the CEO's Executive Assistant during holidays and other absences.
- Presentations: Help prepare presentation decks and briefing materials for Board and Executive meetings.
- Projects and Process: Support ad hoc governance and Board-related projects for the Company Secretary and Chief of Staff, and help improve how Board and CEO Office work is coordinated, such as templates, checklists and tracking tools.
- Career Development: Take on more governance and company secretarial work over time, with the opportunity to progress towards a Company Secretary pathway.
Requirements
- Around five years' experience as an Executive Assistant, ideally supporting senior executives, Board members or governance bodies.
- Sector Experience: Experience in financial services or a comparable regulated environment.
- Education: A university degree, ideally in law. Business administration or a related subject will also be considered alongside strong EA experience.
- Governance Awareness: A good understanding of Board and committee processes, and familiarity with handling Board and committee documents. Any company secretarial or governance qualification is an advantage but not essential.
- Technical Skills: Highly competent in Microsoft Office, particularly Word, PowerPoint and Outlook.
- Professional Manner: Excellent written and verbal communication, strong organisation and attention to detail, and the discretion to handle confidential information.
- Mindset: Open-minded about how the role develops in the early stages, and interested in a long-term career in governance.
