  • Handle administrative tasks such as expense reports and purchase orders.
  • Serve as a business partner, providing proactive support of the business cycle.
  • Organise team activities and cross-time zone collaboration.

Job description

Amazon WHS (Workplace Health and Safety) is looking for an exceptional Executive Assistant to join a fast-paced, exciting, and growing team. This role will support two Directors and a global team. You will need to be able to earn trust quickly, be resourceful, demonstrate high ownership, communicate effectively across all levels and roles, and maintain strong attention to detail and organisation. A high level of integrity and discretion in handling confidential information is essential, as is professionalism in dealing with senior executives inside and outside the company. The successful candidate must have a demonstrated ability to manage complex calendars, coordinate domestic and international travel, process expense reports, and act as a general liaison between team members and leadership.

Key job responsibilities
  • Provide executive support to Directors and work closely with the leadership team and other Executive Assistants to provide support to the organization
  • Organise, prioritise and appropriately handle time-sensitive, confidential information and ensure required actions are addressed in a timely manner
  • Track and help drive completion of key deliverables and follow up on pending items
  • Manage complex scheduling, both internal and external
  • Arrange worldwide travel itineraries for the Directors, including booking travel and accommodation, building agendas, and any further requirements
  • Handle administrative tasks as required, such as expense reports, POs, space planning, and more
  • Serve as a business partner, ensuring strategic, proactive, and thoughtful support of the business cycle
  • Organise, execute, and assist with team activities (town halls, regional meetings, staff meeting agendas, all-org meetings, off-sites, on-sites, team social events, and volunteering activities)
  • Work with our international team across several time zones
  • Manage WHS-related projects as needed
  • Provide cover for other EAs in the team when needed
Basic Qualifications
  • Knowledge of Microsoft Office products and applications
  • Experience as an Executive Assistant
  • Experience with executive level calendar management
  • Experience with domestic or international travel coordination
  • Bachelor's degree
Preferred Qualifications
  • Experience leading process improvements
  • Experience in a fast-paced, high-tech company
  • Experience designing processes to maximize efficiency
