Job Summary

The Executive Assistant provides high-level administrative support to the Plant Director and ensures smooth coordination of daily activities, strategic communications, and key projects. This role demands exceptional organisational skills, professionalism, discretion, and the ability to liaise effectively with internal teams and external partners.

Key Responsibilities
Executive Support
  • Act as the primary point of contact for the Plant Director and other Senior leads.
  • Manage and prioritise the Director’s calendar, appointments, and travel arrangements.
  • Prepare briefing materials and agendas for meetings; take accurate minutes.
  • Draft, review, and distribute communications such as emails, reports, presentations, and correspondence.
Coordination & Communication
  • Facilitate effective communication between the Plant Director and senior leadership, functional teams, and external stakeholders.
  • Coordinate cross-departmental activities and follow up on actions to support operational goals.
  • Handle confidential information with integrity and discretion.
Administrative Excellence
  • Oversee office administration tasks relating to executive functions.
  • Support preparation and tracking of budgets, expense reports, and financial documentation.
  • Maintain organised filing systems (digital and physical) for critical documents.
Project & Event Support
  • Provide support for key initiatives, projects, and special assignments.
  • Coordinate internal events, team meetings, and leadership briefings.
  • Support logistical needs for workshops, site visits, and external delegations.
