Dynamite Recruitment are currently working in partnership with a very successful service provider who have offices based in Eastleigh. Due to a busy period our client is looking to recruit an Executive Assistant.
As an Executive Assistant you will be responsible for:- Manage and reconcile financial transactions, including purchase orders, invoices, business credit card statements, receipts, mileage claims, and expenses. Process holiday requests and timesheets as needed.
- Support the Executive Director’s team by drafting and monitoring the annual budget.
- Develop, review, edit, and update policies and procedures related to the Executive Director or relevant Directorates, as appropriate.
- Maintain a strong understanding of business operations to effectively direct colleagues to the appropriate contacts or resources.
- Lead and collaborate with teams and Directorates to foster cross-functional alignment, share best practices, and identify opportunities for social value and cost efficiency. Contribute actively to team-based projects.
- Champion risk management and value-for-money practices, ensuring relevant entries are accurately recorded in appropriate registers.
- Facilitate the onboarding process for new Senior Leadership Team members and provide support as they transition into their roles.
- Align with the organization’s strategic goals and values by understanding broader business strategies and consistently following all policies, procedures, and behavioural frameworks.
- Perform any additional tasks necessary to support the daily operations and responsibilities of the role.
As an Executive Assistant you will have/be:- Strong communication skills, have experience of building positive relationships
- Have previous experience in supporting at EA level
- Have the ability to work to extremely tight deadlines and under demand
- Will be available Immediately and on an ongoing basis
- Able to work to a high level of accuracy; demonstrating attention to detail
- Previous experience of preparing meeting agendas and taking and producing minutes of meetings at Board Level.
- Excellent organisation skills
- Ability to work unsupervised and under pressure; able to make decisions
- Experience of prioritising work tasks and managing a demanding workload; including the ability to deal with shifting priorities
- Previous experience of working as part of a team
- Previous experience of working in a confidential, commercial environment
- Experience of working in a regulated environment would be advantageous
