Job summary

A leading FE College in Northamptonshire is seeking an Exams Administrator to join its busy examinations team. The role focuses on accurate administration of examinations, entries, results and certifications, while ensuring compliance with awarding body regulations.

Qualifications

  • GCSE English and Maths at Grade C/4 or above (or equivalent).
  • Experience in an administrative role.
  • Knowledge of examination administration processes and awarding body regulations.
  • Experience using student record systems or MIS.

Responsibilities

  • Process examination registrations, entries, claims and certification requests accurately and within deadlines.
  • Maintain and update student records on the MIS.
  • Respond professionally to examination-related enquiries from students and staff.
  • Support administration of online and paper-based examinations.
  • Assist with examination planning, scheduling and invigilator coordination.
  • Process examination results and maintain accurate records.
  • Ensure examination files comply with awarding body requirements.
  • Support students with examination access arrangements and concessions.
  • Maintain confidentiality and data protection compliance.
  • Promote safeguarding, equality, diversity and inclusion.

Job description

Hours: Up to 37 hours per week. Part-time and term-time only arrangements will be considered for the right candidate. Occasional evening and weekend working may be required during peak examination periods.

The Opportunity

A leading Further Education College in Northamptonshire is seeking a highly organised and customer-focused Exams Administrator to join its busy examinations team.

This is an excellent opportunity for an individual with strong administrative skills who enjoys working in a fast-paced environment and takes pride in delivering a high-quality service to students, staff and awarding organisations.

The successful candidate will play a key role in ensuring the accurate administration of examination entries, registrations, results and certifications, while supporting compliance with awarding body regulations and internal procedures. Working as part of a dedicated Exams team, they will help ensure that students receive an efficient and professional service throughout the examination cycle.

Key Responsibilities
  • Process examination registrations, entries, claims and certification requests accurately and within agreed deadlines.
  • Maintain and update student records and examination data on the Management Information System (MIS).
  • Respond professionally to examination-related enquiries from students and staff.
  • Support the administration of both online and paper-based examinations.
  • Assist with examination planning, scheduling and invigilator coordination.
  • Process examination results and maintain accurate records.
  • Ensure examination files and evidence are complete and compliant with awarding body requirements.
  • Support students receiving examination access arrangements and concessions.
  • Maintain confidentiality and compliance with data protection requirements.
  • Promote safeguarding, equality, diversity and inclusion in all aspects of the role.
About You

The successful candidate is likely to have:

  • GCSE English and Maths at Grade C/4 or above (or equivalent).
  • Previous experience in an administrative role.
  • Excellent organisational and time-management skills.
  • Strong IT skills, including proficiency in Microsoft Office applications.
  • Excellent communication and customer service skills.
  • The ability to work independently and collaboratively as part of a team.
  • A proactive and solutions-focused approach to work.
  • Strong attention to detail and the ability to work accurately under pressure.
  • An understanding of confidentiality and data protection requirements.
  • A commitment to safeguarding and promoting the welfare of young people and vulnerable adults.
  • Experience working within a Further Education or Higher Education environment.
  • A qualification in Business Administration, Customer Service or a related discipline.
  • Knowledge of examination administration processes and awarding body regulations.
  • Experience using student record systems or Management Information Systems (MIS).
  • Degree-level education or equivalent.
