About The Role

WHAT DOES AN EVENTS SUPERVISOR DO?

The Events Supervisor is an integral part of the Events Team. Key focus of this role is the coordination of a full range of ad-hoc and scheduled events within a customer-facing and retail business. This includes working with our Business Development team to drive sales, building strategies with the Experiential Manager, following up on leads, actively selling the Distillery, and developing our seasonal events calendar.

You will also collaborate with the Duty Manager team to deliver the operational side of all Events, including flexible working hours over weekends and evenings when required.

Key Accountabilities and Responsibilities

Event Coordination

  • Support the execution of event business plans under the direction of the Experiential Manager, contributing to strategies for the Brand Home.
  • Organize and plan events, including calendar entries, staffing, external suppliers, permits, and event details.
  • Monitor budgets once finalized.
  • Coordinate with management, Brand Home, and Operations teams for seamless event execution.
  • Ensure effective staffing using distillery and agency staff.
  • Respond efficiently to event inquiries, convert leads into bookings, manage contracts, and reconcile payments.
  • Source and contract event agencies and suppliers.
  • Resolve client or guest issues calmly and positively.
  • Ensure setup complies with client requirements and safety standards.
  • Coordinate with catering partners to ensure quality and standards.
  • Supervise events or ensure proper supervision in your absence.
  • Book and liaise with external suppliers, ensuring all documentation and safety regulations are met.
  • Maintain food hygiene and HACCP compliance, and prepare confirmation packs and itineraries.
  • Create running orders and checklists for larger events.
  • Greet guests and communicate last-minute changes.
  • Monitor service levels and feedback to ensure quality standards.
  • Manage event inventory.

Sales

  • Develop new event ideas to drive business and revenue.
  • Assist with ad-hoc sales activities.
  • Create promotional materials.
  • Build into sales strategies with management.
  • Follow up on leads, actively sell the venue, and seek to improve conversion rates.

Administration

  • Update event management systems and CRM.
  • Manage costs and process payments.
  • Input and report event data.
  • Contribute to quarterly meetings.
  • Monitor feedback systems.
  • Send confirmation packs and support marketing efforts.

Staff Coordination

  • Coordinate with department managers to organize event staff.
  • Manage on-site staff, contractors, and agencies during events.

General Duties

  • Contribute to site development and capital expenditure projects.
  • Represent the Brand at trade, sponsorship, and community events.
  • Support site marketing strategies with an event focus.
  • Be a key holder and Duty Manager, providing out-of-hours coverage.
  • Assist colleagues with event organization and operation.
  • Build and maintain stakeholder relationships.
  • Maintain professional appearance and presentation.
  • Perform other duties as required.
  • Work flexible hours, including evenings, weekends, and holidays.
