Description
Gagosian Gallery hosts a variety of events that celebrate art, foster artistic dialogue, and engage with the art community. We are seeking an exceptional Events Coordinator to support our Global Head of Events. This role is integral to the successful planning and execution of a diverse range of experiences, including artist dinners, private parties, gallery presence, and more.
The ideal candidate for this position not only possesses a deep appreciation for the arts but also exudes a professional demeanor, has impeccable judgment and the ability to handle sensitive information. Meticulous attention to detail is a must, ensuring that no aspect of an event goes overlooked. The Events Coordinator should possess the ability to seamlessly multitask, oversee various elements and logistics, with a keen awareness to time-sensitivity and ability to maintain composure under pressure.
This is a full time, permanent position.

Key Responsibilities
Responsibilities include (but not limited to):
Gallery Events Programme:
– Supporting the Global Head of Events with curating and executing the year-round gallery events programme which focuses on drinks receptions, post opening dinners, parties, young collector programme. – Overseeing the list management, invitation mailings, RSVPs, and follow ups.
– Relay event details to graphic designers for invitation creation.
– Own the guest list creation in Google Docs. Maintain event files with past dinner lists, seating charts, menus, and invoices.
– Keep detailed records of all costs and data related to events
– Liaising with external vendors for coordination and the smooth running of events (restaurants, catering etc.)
Relationship handling:
– Cultivate relationships with clubs, restaurants, venues and external organisations and represent Gagosian in meetings with organisations across art, luxury and fashion to benefit our gallery events programme and drive revenue-making events
– Support strategic goals for client activations across Europe and new global initiatives
– Organising and executing events such as group tours and private visits etc.
– Collaborate with the sales and artist liaison teams to ensure the smooth running of all gallery and museum events
Events, Galas and Budget handling
– Sharing and logging gala information and liaising with external parties.
– Tracking gala contributions and guest attendance at galas.
Skills, Knowledge and Expertise
A bit about you
– Minimum of 2 years previous exposire in a similar role
– Exercise sound, independent judgment to regularly handle new and complex situations
– Proven ability to successfully handle multiple, high urgency, requests in a reliable manner
– Ability to professionally communicate, including across competing priorities
– High level of flexibility and a strong team worker
– Excellent interpersonal and communication skills, able to quickly build effective and trusting relationships at all levels.
– Demonstrates independent problem solving and initiative with appropriate considerations
– Displays exemplary organizational skills to maintain order and stability throughout function
– Excellent English written and verbal skills
– Excellent organizational skills A knack for problem-solving – Customer-service orientation BSc/BA in PR, marketing, hospitality management or related field is desirable but not essential
