Retirement Villages Group's Botanical Place in West Byfleet is seeking an enthusiastic Event & Community Coordinator to bring the community to life. You’ll create a varied programme of activities for residents and prospective residents, organise events up to 200 guests, and work with Sales and Marketing to showcase the lifestyle.

You'll engage with local partners, welcome external groups, and help new residents settle in while delivering a first-class resident and customer experience.

Qualifications

  • 3+ years of events coordination or similar experience.
  • Experience delivering events of varying sizes.
  • Excellent communication and relationship-building skills.
  • DBS check required; emergency first aid training desirable.

Botanical Place in West Byfleet is one of our newer and most exciting retirement communities. More than just a place to live, Botanical Place brings together beautiful homes, fantastic facilities, wellbeing spaces and a vibrant social community. We're looking for an enthusiastic and commercially minded Event & Community Coordinator to bring the community to life. This is a full‑time role working 5 days out of 7, with shifts worked flexibly between 7am and 10pm, including occasional evenings and weekends.

About the role As our Event & Community Coordinator, you'll be at the heart of life at Botanical Place. From creating an exciting programme of resident activities to organising large-scale events, building local partnerships and supporting prospective residents, no two days will be the same. You'll play a key role in helping new residents settle into the community, encouraging people to get involved and building meaningful relationships with residents, families and the wider local community. Working closely with our Village, Sales and Marketing teams, you'll also organise and co-host events that showcase everything Botanical Place has to offer, helping prospective residents experience the lifestyle and community first‑hand. This is a hands‑on, people‑focused role with plenty of opportunity to bring your own ideas and make a real impact.

What you’ll be doing
  • Creating and delivering a varied, engaging and inclusive programme of activities and events for residents and prospective residents
  • Organising everything from smaller community activities through to large‑scale events for up to 200 guests
  • Supporting new residents as they settle into life at Botanical Place
  • Building strong relationships with residents and encouraging participation across the community
  • Working closely with Sales and Marketing to organise and co‑host sales and community events
  • Using your local knowledge and connections to help promote Botanical Place and engage with prospective residents
  • Building relationships with local businesses, community groups, volunteers and service providers
  • Welcoming external community groups into the village and helping showcase our fantastic facilities
  • Acting as a key point of contact for residents, families and community stakeholders
  • Working closely with the wider village team to deliver an exceptional resident and customer experience
  • Continuously reviewing and improving our events programme to maximise both community engagement and commercial opportunities
What we’re looking for
  • You’ll be a natural people person with a passion for creating memorable experiences and bringing communities together.
  • You’ll be equally comfortable chatting with residents, working with local businesses, hosting an event or getting stuck into the practical organisation behind the scenes.
  • Ideally, you’ll have:
    • At least 3 years' experience organising events within a commercial environment
    • Experience delivering events of varying sizes, including larger events for up to 200 attendees
    • At least 3 years' experience in customer service, community engagement or a similar people-focused role
    • Excellent communication and relationship‑building skills
    • Strong organisational skills and the ability to manage multiple priorities
    • A creative and proactive approach, with plenty of ideas and the confidence to make them happen
    • A positive commercial mindset and an understanding of how events can support business and sales objectives
    • Experience working with external partners, suppliers, volunteers or community stakeholders
    • The ability to work independently while being a collaborative team player
  • A DBS check will be required for this role. An Emergency First Aid at Work qualification is desirable, although training can be provided.
