Job description

Event Support Coordinator

Location: Burgess Hill (Hybrid – 2 days in office per week)
Pay Rate: 12.82 – 15.38 PAYE or 17.00 – 20.50 Umbrella
Contract Length: 9 months
Hours: 37.5

About the Role:
As an Event Support Coordinator, you will assist in organising a variety of internal and external events, ranging from intimate gatherings to large–scale exhibitions. Your efforts will directly contribute to enhancing customer experiences and supporting our ambitious business goals.

Key Responsibilities:

Event Planning:

  • Respond to and manage internal and external event requests.
  • Assist with venue sourcing, booking, and coordination, including site visits.
  • Collaborate with vendors and suppliers for timely service delivery.
  • Design customer–facing materials, ensuring adherence to brand guidelines.
  • Track event budgets, raise POs, and manage payments.
  • Support on–site event and delegate management.
  • Conduct risk assessments and ensure health and safety compliance.
  • Assist with post–event activities, including evaluations and feedback compilation.

Event Communications:

  • Set up and design registration forms and event websites using Cvent.
  • Collaborate with Marketing to craft and distribute event communications.
  • Manage post–event communication, including feedback surveys.

Team Support:

  • Maintain and update event databases and contact lists.
  • Keep internal documents and trackers current and accessible.
  • Respond to queries in the shared events inbox.
  • Provide administrative support to the events team, including scheduling meetings and taking minutes.

  • Strong interpersonal and communication skills.
  • Ability to multitask and thrive under pressure.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Enthusiastic, proactive, and capable of working independently and collaboratively.

Desirable:

  • Experience using Google Suite.
