We're looking for a detail-focused and commercially minded Estimating Coordinator to join our team supporting a major national retail facilities management contract.
This is a pivotal role responsible for producing accurate quotations for reactive maintenance, additional works and asset upgrades. Working closely with engineers, suppliers, subcontractors and operational teams, you'll ensure estimates are prepared, validated and submitted in line with contractual requirements, commercial governance and client expectations.
What You'll Be Doing
As an Estimating Coordinator, you will:
- Prepare, review and submit quotations for labour, materials, access equipment and additional works through CAFM and client systems.
- Liaise with engineers, suppliers and subcontractors to gather and validate information required to produce accurate estimates.
- Ensure all quotations comply with company processes, commercial governance and delegated authority requirements.
- Review estimates to identify risks, gaps and opportunities, ensuring pricing is accurate and commercially robust.
- Manage quotations through to approval, proactively tracking progress and supporting timely completion of works.
- Prioritise workloads effectively, responding quickly to client requests and contractual SLA requirements.
- Maintain accurate records, trackers and management information to support performance reporting and audit requirements.
- Work collaboratively with operational teams and clients to ensure a clear understanding of the scope and requirements of proposed works.
- Support departmental KPI achievement by delivering quotations accurately and within agreed timescales.
- Ensure all activities are undertaken in a compliant, ethical and professional manner.
- Contribute to continuous improvement initiatives and provide support across the wider team as required.
What We're Looking For
You’ll be a highly organised and analytical individual with a strong attention to detail and a customer-focused approach.
You’ll also have:
- A strong administrative background with experience managing multiple priorities.
- Excellent numerical, analytical and problem-solving skills.
- Experience using Microsoft Office applications, particularly Excel.
- Strong written and verbal communication skills.
- The ability to work independently and manage tasks through to completion.
- Excellent organisational and time management skills.
- A high level of accuracy and attention to detail.
- The ability to build effective working relationships with internal and external stakeholders.
- A flexible and adaptable approach in a fast-paced environment.
Desirable Experience
- Experience producing quotations, estimates or costings within facilities management, construction, engineering or maintenance environments.
- Experience using CAFM systems and work management platforms.
- Understanding of FM service delivery, reactive maintenance and additional works processes.
- Knowledge of commercial governance and approval processes.

- Salary: Up to £32,000 per annum, depending on experience
- 4% bonus, subject to achievement of targets
