Job summary

A fast-expanding restaurant group is seeking an FF&E Purchasing Coordinator to manage invoicing and logistics across projects in the EU, UK, Middle East, and US. This administrative role requires 3+ years of experience in Purchasing or Finance, focusing on procurement and logistics processes within a collaborative team environment.

Qualifications

  • At least 3+ years of experience in Purchasing, Finance, or Administration within the Interiors or Design sector.
  • Strong understanding of procurement and logistics processes.
  • Detail-oriented with strong analytical skills.

Responsibilities

  • Raising and managing purchase orders and invoices.
  • Maintaining accurate FF&E schedules daily.
  • Organizing global shipping and logistics.

Skills

Job Description

This fast expanding, successful, and innovative restaurant group is seeking an FF&E Purchasing Coordinator to join their dynamic team. The role involves managing invoicing and logistics across projects throughout the EU, UK, Middle East, and US. This is an excellent opportunity to work on iconic and bespoke projects from concept to completion during an exciting period of growth for the company.

Experience:

At least 3+ years of experience in Purchasing, Finance, or Administration within the Interiors or Design sector. Please note, this is a purely administrative role and not a creative or design position.

Responsibilities:

  • Raising and managing purchase orders and invoices, liaising with suppliers, designers, and the finance team.
  • Maintaining accurate FF&E schedules daily.
  • Reporting FF&E expenditures to the relevant manager.
  • Organizing global shipping and logistics, including document creation and import/export procedures.
  • Reconciling project spends with the finance team.
  • Recording all FF&E certifications, including CE or FR documents.
  • Supporting embellishment requirements for existing restaurants as needed.
  • Purchasing office supplies for the UK studio and assisting with IT setups for new designers.
  • Maintaining the studio office and UK storage facilities, ensuring tidiness and updated inventory records.

Skills:

Proficiency in Excel, Microsoft Office, and Google Documents. Basic knowledge of Adobe Photoshop & InDesign is desirable.

  • Strong understanding of procurement and logistics processes.
  • Ability to work under pressure and meet deadlines.
  • Detail-oriented with strong analytical skills.
  • Pragmatic problem-solver.
  • Professional demeanor and level-headedness.
  • Excellent communication and negotiation skills.
