We're looking for an Editorial Production Assistant to support on administrative tasks relating to the production of frieze, Frieze Week, Frieze Masters and frieze.com.
Key Responsibilities and Accountabilities
- Submit and track invoices, in collaboration with the Content Operations Manager, and set up new payees in our finance system
- Add production deadlines set by the Content Operations Manager to the Publishing team’s shared calendar. Maintain a running list of internal deadlines, ensuring that relevant alerts and meetings are scheduled
- Set up meetings as required, liaising with freelancers on scheduling as required
- Create to-do lists and layout folders for each issue and frieze.com, and provide additional administrative support as needed
- Publish each new issue of frieze on Shopify
- Manage printing of press cards and business cards and organise the Publishing team’s post
- Maintain the archive in the London office
- Provide occasional administrative support for frieze magazine events, sending out invites, updating guest list spreadsheets and passing on any queries from the events mailbox to the Publishing and Events Manager
- Assist with coordination of commissioned photography for frieze magazine where required
- Create Spotify playlists for DJ in Residence
- Assist with proofing print publications and frieze.com where required
- Construct quarterly publishing updates
- Working closely with the EIC and any other editors, build the Sunday mailer every Friday, as well as any additional mailers as required.
Experience & Skills:
Mandatory
- Highly organised with impeccable attention to detail
- Proficient in Microsoft Office, particularly Excel and Outlook
- Able to balance varied demands and deadlines and identify priorities
- Excellent verbal and written communication skills

- Experience in Publishing

- Experience with Mailchimp
