Job description

VANRATH is working alongside a leading Supply Equipment organisation with a prestigious reputation for recruiting a Scheduling Coordinator.

This is a Monday - Friday (9.00am - 5.00pm) - Permanent position.

This role is based in the company's North Belfast office. After probation, there is an option to work 2 days a week from home.

Salary: £24,000 - £26,500 + excellent benefits & progression opportunities

Responsibilities
  1. Respond to customer and colleagues' emails daily.
  2. Schedule engineers for open jobs daily, liaising with the service administration manager for any changes or adjustments.
  3. Communicate with customers to keep them updated on schedule dates, order ETAs, parts, etc.
  4. Create service job sheets for any service or repair attended by an engineer.
  5. Coordinate with warehouse personnel to ensure parts needed are delivered to engineers via courier for scheduled jobs.
  6. Check the service inbox daily for customer service PO's, orders, queries.
  7. Draft quotations for non-contract work such as repair call-outs, service work, or spare parts sales.
  8. Perform data entry to ensure electronic records are accurate, including pricing, equipment details, location, and contact information.
  9. Handle general administration tasks such as answering phones, filing, and maintaining current records.
  10. Coordinate with UKAS engineers/calibration suppliers to ensure service equipment is within calibration and arrange calibration when due.
  11. Communicate with suppliers for updates on parts, services, and order arrivals.
Minimum Requirements
  1. Proven experience in a similar role involving coordination, scheduling, or planning.
  2. Excellent organizational skills with the ability to prioritize tasks effectively.
  3. Strong attention to detail and accuracy in all work performed.
