Job description

VANRATH is working alongside a leading Supply Equipment organisation with a prestigious reputation for recruiting a Scheduling Coordinator.

Position Details

This is a Monday - Friday (9.00am - 5.00pm) permanent position, based in the company's North Belfast office. After probation, there is an option to work 2 days a week from home.

Salary

£24,000 - £26,500 + excellent benefits and progression opportunities

Responsibilities
  1. Respond to customer and colleague emails daily.
  2. Schedule engineers for open jobs daily, liaising with the service administration manager for any changes.
  3. Communicate with customers to keep them updated on schedule dates, order ETAs, parts, etc.
  4. Create service job sheets for service or repair visits.
  5. Coordinate with warehouse personnel to ensure parts are delivered to engineers timely via courier.
  6. Check the service inbox daily for POs, orders, and queries.
  7. Draft quotations for non-contract work, such as repair call-outs, service work, or spare parts sales.
  8. Ensure accurate data entry in electronic records, including pricing, equipment details, location, and contact information.
  9. Perform general administrative duties, including answering phones and filing.
  10. Liaise with UKAS engineers and calibration suppliers to ensure equipment calibration is up to date.
  11. Coordinate with suppliers for parts and service updates and delivery times.
Requirements
  • Proven experience in a similar role involving coordination, scheduling, or planning.
  • Excellent organizational skills with the ability to prioritize effectively.
  • Strong attention to detail and accuracy.
