Job Description
To deliver consistent high-quality administration support and Microsoft 365 support to the Sales & Marketing teams at Galderma UK. The role requires a highly organized individual, very analytical, able to confidently consult with both internal and external key stakeholders on a range of projects and topics

The AX Sales Operations Manager is responsible for driving operational excellence within the AX sales organization by overseeing the effective use of internal dashboards and software. This role supports sales strategy, reporting, forecasting, and process optimization, ensuring alignment between sales, finance, training, marketing and customer service teams.
The role requires a highly organized individual, able to confidently consult with both internal and external key stakeholders on a range of projects and topics. Must be competent in advanced PowerPoint and Excel. Must be able to manage multiple projects at any time.
A solution-focused self-starter who will be able to proactively prioritize and take the initiative with regards to various sales and marketing operations and initiatives as required.
Key Responsibilities:
- Work closely with the Ax Head of Sales and Ax Head of Marketing and their respective teams to support the execution and follow up of annual plans for the Ax Business Unit.
- Process redesign and improvement - end to end process mapping and refinement for net work hour gains. Participate in the development and implementation of sales strategies, processes, and systems to increase efficiency, productivity, and revenue growth
- Coordinate and deliver various key events, projects, and tasks in a timely and accurate manner with careful attention to detail in-line with the tactical plans.
- Support with the onboarding and offboarding of new starters and leavers
- Consult with external travel / event companies for logistics and delegate management for committed UKI & International meetings, conferences and events and attendance to coordinate on-site (including overnight stops) where required.
- Manage the purchasing and budget monitoring process including raising and handling purchase orders, dealing with queries by liaising with suppliers and other external agents, maintaining budget monitoring systems, regular analysis and communication of spend vs budget.
- Support the development, adaptation, and approval process of Sales & Marketing materials, in line with Galderma compliance standards (e.g., comply with the relevant national and international codes of practice and Galderma corporate and branding standards), and timely deployment via the approved systems for use by the teams.
- Consult with Ax Sales, Ax Marketing, Galderma Medical and external agencies as required to ensure smooth process of materials production, storage, distribution and destruction in accordance with internal SOPs.
- Tracking, monitoring, and making recommendations of tactical projects inclusive of competitor activity, campaigns, meetings, and event effectiveness to drive continuous improvement. Analyse sales data and performance metrics to identify trends, opportunities, and areas for improvement.
- Coordination of the sampling process, which includes ongoing monitoring and reporting, in adherence to internal and external compliance requirements.
- Supporting the implementation of Commercial Policy across the sales force, tracking, monitoring, and measuring the adherence to the bandings and consulting with business intelligence.
- Supporting the Head of Sales with the management of the outsourced sales force to ensure sales force effectiveness and performance monitoring. Work closely with the client engagement sales manager to coordinate training, materials, and meetings in-line with cycle plans.
- Provide other co-ordination and support to the Sales and Marketing teams including the production and collation of data for updating, reporting, presentations, trackers, data analysis and other written material.
- Working in close collaboration with the business intelligence function, to support and maintain timely system updates in-line with approved segmentation and targeting criteria. Design and maintain sales forecasting, pipeline management, and sales performance reporting tools.
- Maintain efficient filing systems and ensure that documentation is stored in the appropriate nominated Galderma repositories with up to date compliant data storage.
- Assist on tasks / projects within the sales and marketing teams as required to meet the immediate needs of the business, and to be flexible during periods of high workload.
- Adhere to all company policies and procedures including but not limited to Code of Conduct, IT, and confidentiality.
- Always behave and act in line with Galderma internal process, standard operating procedure, and policy as well as within the letter and spirit of applicable law and relevant industry codes of practice (including the spirit of the ABPI and ABHI codes of practice).

Skills & Qualifications:- Bachelor's degree in Business, Operations, or a related field; MBA is a plus.
- 5+ years of experience in sales operations, preferably in a B2B environment.
- Proficient in Microsoft Dynamics AX or Dynamics 365 F&O.
- Strong understanding of sales processes, CRM/ERP systems, and data management.
- Excellent analytical, organizational, and project management skills.
- Strong interpersonal and communication skills, with the ability to work cross-functionally.
