ESTATES PROJECT COORDINATOR

BGS ESTATES SOUTH

Grade: UKRI Pay Band C/S2

Salary: £31,298 per annum

Contract Type: Permanent

Hours: Full-time – 37 hours a week (a range of flexible working options may be available)

Location: BGS headquarters in Keyworth in Nottingham

About the role

The Estates Project Coordinator plays a vital role in supporting the planning, coordination, and delivery of estates and facilities-related projects across an organisation’s property portfolio. Reporting to the Estates Project Manager, the postholder is responsible for ensuring that all aspects of assigned projects—ranging from minor refurbishments to large-scale capital works—are delivered efficiently, safely, and in line with organisational objectives and statutory requirements.

Key duties and responsibilities:

  • Coordinating project activities, schedules, and resources across multiple stakeholders including consultants, contractors, suppliers, and internal departments.
  • Supporting the preparation of project briefs, scopes of work, risk assessments, and procurement documentation.
  • Monitoring project progress against key milestones, budgets, and timelines, and reporting on performance to senior management.
  • Managing documentation such as drawings, permits, meeting minutes, and handover packs to ensure effective record-keeping and compliance.
  • Assisting with health and safety compliance, access arrangements, and site coordination during project works.
  • Supporting stakeholder engagement and communication, ensuring all parties are informed of project updates, changes, and actions.
  • Liaising with facilities management teams to ensure smooth transition of completed works into operational use.

Essential

  • A good understanding of property, construction, or building services gained through academic study or relevant industry experience. (S.I)
  • Proven ability to coordinate project activities, manage documentation, and liaise with multiple stakeholders. (S,I)
  • Strong organisational and time-management skills with the ability to manage competing deadlines. (S,I)
  • Excellent written and verbal communication skills, including minute-taking and progress reporting. (S,I)
  • Experience supervising or coordinating contractors on-site and supporting health and safety compliance. (S,I)
  • Proficient in Microsoft Office applications (Word, Excel, Outlook) and comfortable working with digital records and documentation. (I)
  • You will be committed to a diverse and inclusive approach to work in the geosciences (S&I).

Desirable

  • Experience working within an estates or facilities department, particularly in a research-led, academic, or public sector environment. (S,I)
  • Proficiency in AutoCAD or similar software for reviewing or producing technical drawings. (S,I)
  • Familiarity with CDM Regulations and project health & safety practices. (S,I)
  • Exposure to managing or updating asset condition surveys or estate data systems (S,I)
  • Knowledge of sustainability and energy efficiency initiatives within the built environment. (S,I)
  • Training or qualifications in health and safety (e.g. IOSH or NEBOSH). (S)
