Job summary

Arqiva in the United Kingdom is seeking an Executive Assistant to provide confidential support to the Chief Financial Officer and the Finance leadership team. You will manage diary, inbox, travel, prepare agendas and board papers, and assist with governance aimed at enabling efficient decision-making.

Based in Winchester with a hybrid working model, you will coordinate cross-functional tasks, liaison with the CEO and executive team, and support meetings and company events.

Responsibilities

  • Provide confidential support to the CFO including diary, inbox, travel management.
  • Prepare agendas, reports and board papers in line with meeting cycles.
  • Coordinate governance and maintain IT systems for collaboration (e.g., Jira, SharePoint).
  • Assist Finance leadership with administrative tasks and high judgement assignments.
  • Act as liaison between the CFO, CEO, Executive Team and Finance Leadership.
  • Identify efficiency improvements for the CFO and Finance Leadership Team.
  • Facilitate meetings and events, including agendas and papers preparation for meetings.
  • Support broader Executive Team and company-wide events when required.
  • Process invoices, expenses and approvals for CFO's team as needed.
  • Support governance adherence within the Finance function.

Plus, you'll play a critical role in supporting the Chief Financial Officer (CFO) and their leadership team, enabling effective decision-making and operational efficiency across the Finance function.

The role

Provides highly confidential, comprehensive support and personal assistance to the Chief Financial Officer (CFO) and their function, covering the full range of administrative and personal assistant functions, so that the Executive Team member can fulfil his/her role as productively as possible.

What you'll be working on
  • Provides the full range of personal assistant functions for the CFO, including time, diary, inbox and travel management, research and preparation of agendas, correspondence, reports, presentations, policies, maintaining IT systems for optimising collaboration (e.g. Jira, SharePoint, e-signature etc), board papers and other communication in line with meeting cycles and appropriate governance
  • Undertakes a wide range of administrative tasks and assignments for the Finance function, requiring considerable use of judgement, personal initiative and discretion
  • Acts as a link between the CFO, the CEO, the Executive Team and members of the Finance Leadership Team and wider business
  • Identifies opportunities, recommends and implements constructive recommendations to improve efficiency and effectiveness of the CFO and the Finance Leadership Team
  • Facilitates communications between the CFO, their Leadership Team and other internal and external key stakeholders
  • Facilitates meetings and/or events as required including attendance at meetings, workshops, hospitality and communication, meeting schedules, preparation and issue of agendas and papers
  • Provides occasional support for other Executive Team Members including support of company-wide events
  • Arranges payment of invoices, expenses and approvals on behalf of the CFO and their Senior Leadership Team as required
  • Supports the Finance function in ensuring adherence to established internal/external governance processes
  • Supports the EA/PA professional network with cross functional support for diary management, agenda building, new starter requests where necessary
What we're looking for
  • We're looking for an Executive Assistant who can operate as a genuine business partner to the CFO, proactively managing priorities, identifying opportunities to improve effectiveness and acting as a trusted liaison across the Executive Team and Finance Leadership Team. Candidates should also be comfortable spending regular time in our Winchester office to support collaboration, stakeholder engagement and relationship building.
  • Organisational skills - effective organisation skills, including the ability to prioritise workload, a methodical approach to work, can remain calm under tight deadlines or pressure
  • Problem solving - spots and executes opportunities to improve CFO productivity, proactively resolves problems without being asked
