The fund specialises in gold and transition metals investments, pursuing a long-term, deep value strategy. We actively support the growth of our portfolio companies by deploying the fund’s capital alongside our strategic expertise.

We are looking for a well-organised and personable Executive Assistant & HR Manager to take ownership of the firm’s office management, administrative and HR requirements.

Role Description

Office Management

  • Manage diaries, schedule appointments, and resolve conflicts
  • Organise local and international travel (hotels, transport, health requirements, currency, visas)
  • Responsible for all Health & Safety duties, including risk assessments, fire safety, first aid arrangements, incident reporting, and ensuring compliance with relevant legislation
  • Coordinate office maintenance (providers, suppliers, external contractors, post and deliveries)
  • Cost control - manage office expenses and ensure adherence to the office budget
  • Assisting with IT processes, escalating and following-up on IT support requests with our IT support contractor, managing the fixed asset register
  • Managing and ordering office supplies
  • Manage potential office move to Mayfair

Team Assistant

  • Booking staff training upon request
  • Handling administrative requests and queries from senior managers, and colleagues from the UK and Luxembourg
  • Administration of the business contacts database
  • Handling internal and external communication
  • Meeting and greeting visitors, preparing meeting rooms, video conferences and providing general support to visitors
  • Support with accounting administration tasks and invoicing
  • Assisting the legal team with organising board meetings, execution of documents, completing filings and other administrative tasks as and when required
  • Organising team participation for conferences, events and social activities
  • Scanning/copying/binding of documents, presentations and filing

HR

  • General HR administration (on-boarding/off-boarding, assisting with payroll, tracking leave/WFH)
  • Maintaining and developing internal HR systems and policies
  • Management of life, health, and travel insurance
  • Management of all subscriptions (Uber, Financial Times, Mining Journal)
  • Organising yearly team seminar abroad

Communications

  • Maintenance and update of the company website and LinkedIn
  • Preparation of documents/presentations as required
  • Assistance with writing and publishing press releases
  • Strong team spirit
  • High level of Microsoft Office suite (Word, Excel, Outlook and PowerPoint)
  • Flexible, dependable, proactive and able to take initiative and ownership
  • Keen attention to detail
  • Trained first aider and fire marshal, or ready to take necessary trainings
  • Excellent written and oral English skills
  • Proficiency in French

Minimum Experience and Qualifications

  • Previous office management/executive assistant experience (3-5 years minimum)
  • Educated to degree level

Terms

  • Located in Central London
  • Monday to Friday schedule, with up to one day per week working from home
