Executive Assistant

I am seeking a highly organised and proactive Executive Assistant to provide comprehensive support to senior leadership within a leading architectural practice. This role requires someone with exceptional administrative skills, strong business acumen, and a deep understanding of the architecture/design industry. You will act as a trusted partner, ensuring smooth day-to-day operations and enabling the leadership team to focus on strategic priorities.

  • Executive Support:
  • Manage complex diaries, schedule meetings, and coordinate travel arrangements.
  • Prepare agendas, take minutes, and follow up on action points.
  • Handle confidential information with discretion.
  • Project Coordination:
  • Assist with project timelines, deliverables, and client communications.
  • Liaise with internal teams and external stakeholders to ensure seamless workflow.
  • Document Management:
  • Draft, proofread, and format reports, presentations, and proposals.
  • Maintain accurate records and filing systems.
  • Industry-Specific Tasks:
  • Support bid submissions and tender documentation.
  • Coordinate design reviews and assist with compliance documentation.
  • Office & Team Support:
  • Act as a point of contact for clients and visitors.
  • Organise events, workshops, and team meetings.

Skills & Experience

  • Proven experience as an Executive Assistant or Personal Assistant at senior level.
  • Previous experience within an architectural practice, design consultancy, or related creative industry.
