Job description

Job Opportunity: Pharmacy Administrative Assistant

NHS Greater Glasgow and Clyde, one of the UK's largest healthcare systems, employs approximately 40,000 staff across various clinical and non-clinical roles. We serve a population of over 1.15 million locally, expanding to 2.2 million with regional and national services.

This is a permanent, full-time position with a shift pattern from Monday to Friday, 0900-1700/30.

Role Overview

We are seeking a friendly and organized pharmacy administrative assistant to support our pharmacy team. You will be the first point of contact for approximately 180 pharmacy staff within the North Sector departments, handling routine enquiries face-to-face, by phone, or email, and ensuring timely and appropriate responses.

Key Responsibilities
  1. Manage staff shifts, overtime, absences, and update reports using the Scottish Time Standard System.
  2. Process sensitive data, order resources, and handle staff annual leave requests.
  3. Attend meetings, prepare agendas, record and distribute minutes.
  4. Input clinical/non-clinical data, scan/upload documents, and maintain filing systems.
  5. Type correspondence and circulate organizational information.
  6. Participate in monthly audits and ensure compliance with policies and guidelines.
Work Environment and Hours

The post is based at Gartnavel General Hospital and Glasgow Royal Infirmary, with a weekly schedule of 37 hours split across the week.

Qualifications and Experience
  • Three standard grades (or equivalent), including Mathematics and English.
  • Basic IT skills.
  • Hospital pharmacy experience is desirable but not essential; full training provided.
Additional Information

Induction and training will be provided, lasting at least four weeks. The role may evolve with service needs and personal development.
