Job description

Job Title: Administrative Officer - Pharmacy Department

NHS Greater Glasgow and Clyde, one of the UK's largest healthcare systems, employs approximately 40,000 staff across various clinical and non-clinical roles. We provide a wide range of healthcare services to over 1.15 million people in our region, expanding to 2.2 million with regional and national services.

This is a permanent, full-time position, based at the North Sector pharmacy, with a shift pattern of Monday to Friday, 0900-1700/30.

Role Overview

We are seeking a friendly and organized individual to join our pharmacy team as an Administrative Officer. You will be the first point of contact for routine enquiries from approximately 180 pharmacy staff, managing communication via face-to-face, telephone, and email channels, and ensuring timely, appropriate responses within established protocols.

Key Responsibilities
  1. Use the Scottish Time Standard System to manage staff shifts, overtime, absences, and generate reports.
  2. Handle sensitive data, process staff leave requests, and order department resources.
  3. Attend departmental meetings, prepare agendas, record and distribute minutes.
  4. Input data from prescription charts into databases and upload documents electronically.
  5. Maintain accurate filing systems and prepare organizational documentation.
  6. Type correspondence and disseminate organizational information.
  7. Participate in monthly audits and comply with quality assurance guidelines and policies.
Requirements
  • Three standard grades or equivalent, including Mathematics and English.
  • Basic IT skills.
  • Previous hospital pharmacy experience is desirable but not essential, as full training will be provided.
Additional Information

The post involves working 37 hours per week with a split pattern between Gartnavel General Hospital and Glasgow Royal Infirmary. A minimum 4-week induction/training program will be provided.
