Job description

We are seeking a part-time Executive Assistant with a can-do attitude to support the Executive Director during the crucial first six months of enterprise-building. This role is remote, 15-20 hours per week, with the potential to transition to full-time after six months. You will play a key role in exciting projects and support their growth journey.

Given the dynamic and highly entrepreneurial nature of early start-ups, the ideal Executive Assistant/Team Coordinator (estimated 15-20 hours per week, 6 months) will excel at the following competencies:

  1. Enterprising and highly organized, to take the lead on:
  • Having at least 5 years of experience as an Executive Assistant; start-up experience is hugely beneficial.
  • Systematically organizing and coding data and documentation.
  • Developing efficient processes, such as grant and relationship tracking, billing and invoices, contracts, etc.
  • Assembling dossiers, including working with the ED to prepare Board dockets.
  1. Travel bookings, memberships and subscriptions, and keeping track of our operational budget.
  • Diplomatic and a collaborative troubleshooter.
  • Managing the Executive Director’s engagements with external stakeholders, including Board Members.
  • Managing relationships with service contractors such as building management and suppliers; scoping and vetting new contractors.

  • Discreet and conscientious. Since the role will involve access to confidential information and the foundation deals with private sources of philanthropic capital and sensitive matters regarding grantees, it is essential that colleagues operate with high levels of empathy and discretion.

The position may be hybrid or fully virtual (within striking distance of GMT time zone), with access to offices in Central London. The successful candidate will report directly to the Executive Director. This engagement is as a contractor, initially from June to December 2025.
