Sussex Pathways is a criminal justice charity based in Lewes, East Sussex, dedicated to reducing offending behaviors and empowering ex-offenders to make positive life choices. We offer a mentoring program that includes mindfulness-based practices, a restorative justice service that repairs harm caused, and one-to-one support to help individuals reintegrate into the community. Our team includes staff, trustees, and volunteers who work with offenders and victims of crime primarily within Sussex, though we accommodate out-of-area work when possible.
Role Description
Purpose of the job: You will support and administer all aspects of our Restorative Justice work in Lewes Prison, the Community in Sussex, and other areas when required outside of Sussex.
Reports to: The RJ Coordinator
Tasks and Responsibilities
- Respond to email and telephone enquiries.
- Help arrange meetings, including setting up and entering all Facilitators/mentor/mentee appointments on C-NOMIS.
- Organise Gate Lists for all scheduled visits and arrange Legal visits for any RJ interaction, and set up a care plan for the Prison Resident.
- Maintain and update paper and electronic records in line with the General Data Protection Regulations, following good records management practice.
- Office management.
- Manage electronic systems.
- Update and maintain live spreadsheets of all cases in conjunction with the RJ Coordinator.
- Liaise with other agencies working within the prison and the community, developing and maintaining a system for the appropriate and safe sharing of information on casework to coordinate all support work.
- Manage applications and referrals to the service/organisation.
- Assist with setting up and running group work when required.
- Induct and manage all facilitators, including supervision and 1-2-1s.
- Assist and support with training volunteers when necessary.
- Coordinate prison visits from volunteers and external partners, including prison vetting, training, and any security checks required.
- Attend Sussex Pathways meetings – Volunteer Network, Team Meetings, Annual Conference, Hub meetings, and SRJP meetings as required.
- Attend and represent Sussex Pathways at meetings/events as needed.
- Use E-CINS (case management system for RJ) efficiently.
- Carry own RJ case load; training in RJ facilitation will be provided.
- Advocate for Restorative Justice referrals in Lewes Prison and the community.
- Maintain and produce data and information for reports and funding bids.
- Perform additional tasks/duties including PTC as required.
Person Specification
Essential Criteria
- Experience managing a small office both virtually and in person to enable effective service delivery.
- Proven resilience working in a fast-paced and challenging environment, supporting personal and peer well-being to deliver effective service.
- Strong communication skills and experience building relationships across teams and stakeholders.
- Excellent organizational skills, attention to detail, and ability to prioritize workload effectively.
- Experience maintaining effective records management and risk controls related to personal data.
- Basic proficiency in Excel to process, analyze, and present data.
Desirable Criteria
- Experience working in the criminal justice system, a prison, and/or with restorative justice.
- Facilitation skills.
- Knowledge and application of the Data Protection Act to improve data management processes.
- Proficiency in MS 365 applications to enhance service administration.
