Purpose of the Role:

We are looking for a Document Controller to join our Facilities and Infrastructure team to manage and oversee Project documentation, ensuring project compliance with company and industry standards, accurate file saving and control. Supporting CDM in pre-construction information, health and safety files and O&M Manuals for internal project work. In this role, you will be responsible for all document preparation, saving, file maintenance, updates and sharing to ensure latest information is available for the relevant stakeholders and external contractors. You will also be expected to coordinate with industry professionals, engineers, contractors, and other stakeholders to ensure that the project files are saved shared and managed, along with supporting the project team with document related tasks.

Role Dimensions:

Integrated within the Infrastructure and Facilities team, working closely with our PMO Team and key stakeholders to support the control of all project documentation, and the controlled sharing of project documents with external suppliers and contractors in the support of small, medium and large Infrastructure projects across our multiple sites. Experience of working in Building Services and construction would be ideal.

Principal Accountabilities:

  • Controlling company and project documentation to ensure latest versions and shared and distributed.
  • Following and improving document control procedures.
  • Ensuring all documentation comply with industry requirements and standards
  • Sorting, storing and retrieving electronic documentation for stakeholders, contractors and industry professionals.
  • Support and issue pre-construction information and construction phase plans to contractors.
  • Request RAMs, review and file.
  • Booking in of contractors within our Envoy System
  • Support with coordination and induction on site.
  • Producing document progress reports.
  • Conducting regular reviews and document audits.
  • Organise and distribute documents as required internally and externally.
  • Supporting the I&F Team through from concept to completion.
  • General administration duties across the I&F and PMO Team.
  • Ensure documents are shared at key times to facilitate timely project completion.
  • Meeting minute capture, compile, distribution and chasing latest version document release from stakeholders and contractors.
  • Control of RFI documents ensure timely release with updates between internal and external stakeholders.

Knowledge, Skills and Experience:

  • Strong IT skills in MS office including SharePoint, outlook, excel and word.
  • NVQ or similar qualifications.
  • Proven record of Document Control within the Construction Industry.
  • Work Knowledge of CDM regulations
  • Knowledge of construction processes and stages, RIBA, Planning, building regulations and British standards.
  • Excellent attention to detail.
  • The ability to identify and resolve discrepancies with documentation.
  • Highly organised and able to multitask
  • Excellent verbal and written communication skills
  • Proficient and quick Minute taking
