Job summary

VVB Engineering is seeking a Document Control Manager in Greater London. Job Summary

As Document Control Manager, you will be responsible for leading and overseeing the document control function across the project, ensuring that all documentation processes, systems, and procedures are fit for purpose and consistently applied. Reporting to the Head of Information Management, you will manage and develop the document control team, drive compliance with information management requirements, and act as the primary point of contact for all CDE and EDMS matters. You will work closely with project leadership, design teams, and external stakeholders to ensure that document control supports effective project delivery. This is a leadership role that requires both strategic oversight and hands‑on expertise in information management.

Key Responsibilities
  • Lead and manage the document control team, providing clear direction, workload management, performance oversight, and professional development.
  • Develop, implement, and maintain document control procedures, workflows, and naming conventions in line with project and client requirements.
  • Own and maintain the Document Management Plan and associated register, ensuring all documentation is current, traceable, and accessible.
  • Oversee the control and distribution of all incoming and outgoing project documents, ensuring team members, consultants, and subcontractors receive the correct and latest versions.
  • Establish and enforce quality assurance processes for document control, ensuring compliance with project standards, client requirements, and relevant ISO standards.
  • Manage the overall project filing structure and digital archiving strategy, ensuring records are retained in accordance with contractual and regulatory obligations.
  • Act as the primary liaison between document control, project management, design teams, and client stakeholders including BBVS and HS2, managing escalations and ensuring alignment on information management expectations.
  • Lead the administration and strategic configuration of CDE and EDMS platforms including Asite and ALIM, ensuring systems are optimised to meet project needs.
  • Serve as the organisational subject matter expert in document control and information management, embedding best practice and providing training and mentoring across the wider team.
  • Hold overall ownership of EDMS system administration across company and client platforms, including user access management, permission structures, and onboarding.
  • Drive continuous improvement in document control processes, identifying efficiencies, leading workflow development, and supporting the delivery of upcoming project stages.
  • Plan and conduct regular audits of document control systems, processes, and team performance, reporting findings and implementing corrective actions as required.
Essential Criteria
  • A minimum of 7 years’ experience in document control, with at least 2 years in a management or supervisory capacity within construction, rail, or infrastructure sectors.
  • Strong knowledge of EDMS systems (e.g., ALIM, Asite, SharePoint, ProjectWise) and proficiency in Microsoft Office Suite.
  • Adaptability in a dynamic environment with a proactive, ‘can‑do’ attitude.
  • Proven people management skills with the ability to lead, develop, and motivate a document control team across a complex project environment.
  • Detail-oriented with a focus on maintaining high standards of quality and compliance.
  • Demonstrable ability to work under pressure, manage competing priorities, and meet deadlines.
  • Qualifications in Information Management, Records Management, or a related discipline; membership of a relevant professional body (e.g. CILIP, AIIM) is desirable.
  • A proactive, solutions-driven mindset and adaptability to dynamic project environments.
