Spire Technology Ltd has been distributing IT hardware nationally to computer resellers for over 35 years and now forms part of the Westcoast Group working alongside Westcoast Ltd – the UK’s largest IT distributor.

We’re looking for a Customer Service Representative to join our hard-working, professional and friendly team.

This is a full-time, permanent role based with our friendly team at Verwood in Dorset, near Ringwood.

The Job Role

You will support, advise and action all customer requests using an online return’s portal. Liaising with customers predominantly via email and Teams, customer service phone lines are open for 2 hours every day. Remaining calm,

clear and professional always a must when communicating with customers.

You will also work closely with the Spire’s sales team. Daily support will involve resolving delivery issues, queries or general office admin duties.

You will be part of a team that continues to work hard meeting customers high expectations within customer service.

The Job Role

Your day-to-day responsibilities will include:

  • Take responsibility of all assigned account queries and proactively manage until resolution, communicating with all relevant colleagues, parcel couriers, carriers, and warehouse and credit control staff.
  • Raising Return Merchandise Authorisations (RMAs), Credit Notes and warehouse queries
  • Chasing failed deliveries and providing further delivery instructions
  • Obtaining manufacturers required authorisations
  • Monitoring query types and alerting Manager of any noted patterns or trends
  • Providing copy PODs and Credit Notes.
  • Understanding the various return policies, validating returns requests and raising RMAs where applicable.
  • Liaising directly with Sales and Vendors to ascertain any additional information required and ensuring this is provided swiftly and queries resolved promptly or escalated as necessary.

  • A great communicator, with customers and colleagues
  • Well organised and capable of managing your time and prioritising a busy workload
  • Able to work well within a small team and takes a flexible and collaborative approach
  • Works effectively under pressure – maintaining good levels of attention to detail
  • Ability to adapt to changing situations with confidence and professionalism
  • Administrative or customer service experience is ideal, but not essential
