Customer Services & Office Administrator

Location: Newby Hall, North Yorkshire

Job type: Permanentfull time (35hrs per week), hybrid working available by negotiation

About the Job

Based at our showroom within the Newby Hall estate, Ripon, you will be supporting the Commercial Director in the delivery of our award-winning retail business, delivering incredible customer service, which our business is renowned for. We are a growing business with big ambitions.

Roles and responsibilities

The post holder of the role will work alongside the commercial director, successfully completing the following tasks;

  • Answer in-bound phone calls and web chat enquiries
  • Forward in bound sales calls to CD
  • Record all customer exchanges on associated order feeds
  • Process daily orders of held stock
  • Package goods and arrange shipment through logistics dashboard
  • Scheduling of customer deliveries
  • Management of imminent deliv eries and orders
  • Email/ call customers to arrange deliveries
  • Checking daily and respond accordingly
  • Flag issues with CD if needed
  • Process daily Shopify orders submitting purchase orders to our suppliers
  • Manage & monitor held stock levels, replenish as required, agreed with CD
  • All purchasing records with cost centres coded updated daily
  • Update reporting spreadsheets accurately
  • Daily processing of inbound invoices into Xero software, coding to the correct cost centre and purchase order
  • Provide annual leave cover as required
  • Handle inbound calls to the senior team
  • Management of team calendars
  • Provide clerical support to the senior team as needed
  • A proactive approach to problem-solving and the ability to work independently as well as part of a team.

Management of office consumables and maintenance of IT equipment

About you

You will have an excellent phone manner and be able to maintain our brand by conveying our company’s tone of voice, as well as having fantastic communication skills. You’ll have excellent attention to detail in all aspects of your work and be self-motivated with the ability to work independently and as part of a team. You’ll also be able to work under pressure and handle complex situations.

  • Previous experience in a similar role (1 year minimum)
  • GCSE (or equivalent) Maths and English
  • Full clean UK driving license
  • Experience using MS Office and Apple IT equipment
  • Excellent clerical skills, including attention to detail in data entry tasks
  • Experience using Xero, Canva and social media platforms
  • Experience using the e-commerce platform Shopify

Terms of employment

  • Monday to Friday schedule, flexible hours will be considered for the right candidate.
  • Post-holders are subject to a 3-month probation period.
  • Occasional weekend work may be required to attend trade fairs
