A leading recreational club in Glasgow seeks a Customer Services Officer to enhance member satisfaction through effective support and efficient administrative processes. This role involves handling inquiries, managing memberships, and maintaining a professional front desk environment. Candidates should possess strong organizational skills, excellent communication abilities, and proficiency in administrative tasks.
Job Purpose
The Customer Services Officer plays a key role in supporting the club by delivering exceptional member services, ensuring efficient administrative processes, and maintaining a professional and welcoming front desk environment.
Key Responsibilities:
Member Support:
1. Assist members with login issues and updating personal details.
2. Process family memberships, including applications, reactivations, and terminations.
3. Handle card replacements for lost or damaged cards, and coordinate door access updates with IT.
4. Enroll and terminate members in Sports and Lifestyle sections.
5. Update the Electronic Payment System (EPS) in the club’s membership database.
Administrative Duties:
6. Prepare and issue letters for car decals, membership changes, introductions, and other member requirements.
7. Manage returned mail, sweet orders, and monthly corporate stock reports for Finance.
8. Maintain organized records for issued/replaced membership cards, family memberships, and other documents.
Communication Management:
9. Respond promptly and professionally to member inquiries via email and WhatsApp.
10. Document and escalate unresolved member complaints or issues to the appropriate department or manager.
Front Desk and Facility Management:
11. Ensure the front desk is clean, organized, and welcoming to members and visitors.
12. Greet members and visitors, assist with inquiries, and provide general information.
13. Answer and direct incoming calls, take messages, and manage visitor logs.
14. Report maintenance or cleanliness issues in public areas to the relevant departments.
Card and Document Management:
15. Print membership cards for new and existing members.
16. Prepare and distribute car decals and other necessary documents.
Event and Payment Support:
17. Assist with member registrations for club events.
18. Accept payments for membership renewals, replacement cards, or other services, if applicable.
Others:
19. Follow the workplace safety and health system, safe work procedures or safety rules implemented at the workplace.
20. Not engage in any unsafe or negligent act that may endanger yourself or others working around you.
21. Use personal protective equipment provided to you to ensure your safety while working. You must not tamper with or misuse the equipment. Any other tasks as assigned by the Head of Department.
22. Any other duties/projects as assigned by Supervisor and/or Management.
