Job description

Customer Service Adviser – Proof of Delivery Requests

Remote Customer Service · Delivery Records · Part-time or full-time
Pay: £53,625–£57,525 a year for a 37.5-hour full-time week; part-time pro rata

“Was my order delivered?” is a different question from “Can you send me the proof of delivery?” This role helps customers and authorised business contacts locate an existing delivery record, understand what it shows and request a copy through the approved route. The work uses online order histories and written communication. You would not decide a dispute with a courier, create evidence that is missing or disclose delivery information to someone whose access has not been checked.

Begin with the right order

A person may have made several purchases close together, or a household may receive packages for more than one account. Check the reference and the permitted identifying details before searching for a delivery record. If the online status says delivered but the proof document is unavailable, those facts must stay separate. You can explain the recorded status if the employer permits it and refer the missing document to the team that can obtain it. Avoid implying that a screen status proves who received a parcel.

Some requests are routine: a customer needs a copy for their records, or a business contact asks which delivery address appears in the authorised document. Others are contested, such as a person saying that no parcel arrived. In the latter case, acknowledge the concern, preserve the customer’s account in the case notes and route it to the team that investigates delivery issues. Your role is a reliable first point of contact and record keeper, not an adjudicator.

Care with the document

Proof of delivery may include a name, location or other personal information. Use the company’s verification and sharing process before releasing a file. Check that the document belongs to the order at hand and that the link or attachment opens. If two deliveries share a similar reference, pause before sending. A wrong file can disclose another person’s details and undermine confidence in the service.

Imagine a customer who says a delivery confirmation names a person they do not recognise. You would not tell them who that person must be or claim the delivery was correct. Note the exact question, record what the authorised delivery information shows and hand the issue to the appropriate investigation team. If a later reply provides new facts, keep it attached to the existing case rather than starting from the beginning. A clear trail allows the next colleague to understand why the proof was requested.

Office administration supports every step: finding the right order, recording whether the proof was sent or requested, noting an unresolved discrepancy and following through when another team supplies the document. A case is not finished merely because it was forwarded. You should know which action you completed and which one is still pending. Customer service also calls for a measured explanation; a person looking for a missing parcel will not be helped by a generic statement that ignores their question.

Your starting skills

Experience with delivery records is not essential. The employer will train you on its order system, privacy checks and escalation path. You should be comfortable comparing references, writing a concise email and asking for guidance when a document cannot be matched confidently. A home office with stable online access and a private place to work with customer records is helpful. The position is remote and may be offered on a full-time or part-time schedule, confirmed by the hiring company.

This role can suit someone entering customer service from retail, hospitality, study or another field. You do not have to know the courier’s internal systems. You need to distinguish a recorded event from a conclusion about a disputed delivery and make sure the customer’s concern reaches the person who can investigate it. The annual salary shown is based on full-time hours; a part-time arrangement would be pro rata.
