Job summary

Confidential's Belfast Crematorium is seeking a dedicated Crematorium Administrator to provide clerical and administrative support under the Crematorium Manager, ensuring efficient service delivery and a dignified bereavement experience.

You will handle bookings, payments, CRM records, liaise with funeral directors, mourners, and staff, while maintaining data privacy and compliance with policies. This is a temporary, approx 12-week contract at 37 hours per week, paying £14.35 per hour.

Qualifications

  • Experience in bereavement or sympathetic customer service is preferred.
  • Ability to handle cash and payments accurately.
  • Proficient with standard IT software and office packages.

Responsibilities

  • Coordinate cremation booking arrangements and related disposal options.
  • Liaise with booking office and process documentation promptly.
  • Assist public with grave/monument queries and memorialisation options.
  • Issue cremated remains and maintain accurate records in CRM & filing systems.
  • Handle monetary payments and reconcile receipts following procedures.
  • Provide front-line customer support in a sympathetic, dignified manner.
  • Support crematorium manager and staff with statutory compliance and administrative duties.

Crematorium Administrator

Ballygowan Road, Crossnacreevy , Belfast

Temporary (Approx 12 weeks)

£14.35 per hour

37 hours per week

Main Purpose

To be responsible to the Cemeteries and Crematorium Manager, through the Crematorium Officer for the provision of comprehensive clerical and administrative support in order to ensure the service meets its objectives in an efficient and effective manner.

To represent the Crematorium and maintain customer awareness at all times, showing tact, sympathy and respect to visitors and maintaining a good and dignified working relationship with funeral directors, ministers of religion and mourners, to make sure an atmosphere of reverence is maintained at all times.

To respond to enquiries and complaints from the public and representatives from the bereavement industry; providing practical advice and front line customer support as required, in a sympathetic and dignified manner.

Main Roles and Responsibilities
  • To co-ordinate booking arrangements for cremations and arrangements for associated disposal of cremated remains such as burial or scattering in garden of remembrance, woodland copse or any other memorialisation schemes that may be adopted by the department.
  • To liaise with the cemeteries and crematorium central booking office on an on-going basis and to process and forward all relevant documentation in a timely manner.
  • To assist and provide direction to the public regarding the identification of graves, memorial trees, the garden of remembrance and other facilities as required.
  • To assist in providing information and advice to the public regarding memorialisation options at the crematorium including the purchasing of urns.
  • To issue cremated remains to customers and ensure accurate and up-to-date information is maintained in relation to the disposal of cremated remains.
  • To ensure that statutory regulations are complied with and process statutory documentation for cremations or burial of cremated remains.
  • To deal with funeral directors in relation to all aspects of crematorium administration.
  • To assist in the efficient running of the crematorium, as required including key-holding duties as appropriate.
  • To manage crematorium administration supplies. To be responsible for the allocation of memorial trees, as required.
  • To assist the Crematorium Officer with enquiries and complaints from the public and representatives from the bereavement industry, providing practical advice and front line customer support as directed, in a sympathetic and dignified manner.
  • To use and maintain CRM (Customer Relationship Management) System for the accurate recording of complaints, comments and compliments for the Crematorium.
  • To utilise a variety of office-related manual record systems, IT software packages and specific council, departmental or service IT systems as required, ensuring compliance with corporate data protection guidelines.
  • To update and maintain such records as are required whether paper-based or computerised, relating to bookings, timekeeping, holidays and similar duties.
  • To undertake general administration duties such as word processing and filing and to update and maintain computer based record systems and manual records as required.
  • To use various office machinery or equipment where appropriate, for example, binders, laminators, fax machines, photocopiers, shredders or other relevant equipment.
  • To accept and process monetary payments, reconcile receipts and secure monies taken in accordance with the relevant cash handling procedures.
  • To liaise with cemetery site staff as required.
  • To assist the cemeteries and crematorium manager and crematorium officer with any relevant quality initiatives including promotional and educational practices.
  • To assist and participate in staff training including health and safety, customer care, cash handling and to comply with all relevant Belfast City Council policies and procedures.
  • To participate in the identification of own and team training and development needs and provide role specific training, coaching and mentoring as appropriate.
  • To undertake the duties in such a way as to enhance and protect the reputation and public profile of the city council.
  • To undertake such other relevant duties as may from time to time be required.
Essential Criteria

Experience

Applicants must, as at the closing date for receipt of application forms, be able to demonstrate on the application form, by providing personal and specific examples, at least one year's relevant experience of:

  • working in an environment which deals with bereavement issues including providing advice and support to customers in a sympathetic and sensitive manner;
  • undertaking administrative and cash handling duties within a business environment;
  • and using information technology software such as Microsoft Office, or equivalent packages.

  • Customer care skills: the ability to demonstrate a sound awareness of customer care procedures and deal with members of the public in a tactful and sensitive manner.

  • Team working skills: the ability to work on own initiative and as an effective team member encouraging day-to-day working by the team and the joint achievement of goals.
