The Corporate Services Administrator works at the heart of our operations, ensuring our data systems remain accurate and secure, our day-to-day office logistics run seamlessly, and internal technical support requests are triaged efficiently.

Reporting to the Operations Manager, the successful candidate will provide essential hands-on administrative and operational support across the organisation. This role is ideal for a highly organised, detail-oriented professional who enjoys problem-solving, maintaining systems, and providing exceptional operational support to internal colleagues and external stakeholders.

Key Responsibilities

Data Input & Records Management

  • Maintain and update internal databases, spreadsheets, and systems with accurate, timely information.

  • Perform routine data audits and cleanup to preserve high standards of data integrity and GDPR compliance.

  • Assist in generating internal reports, operational metrics, and analytics for department leads.

  • Support document management processes, ensuring physical and digital files are organized, accessible, and archived according to company policies.

Office Organisation & Logistics

  • Oversee day-to-day office operational logistics, maintaining a clean, efficient, and well-resourced working environment while managing internal and external storage.

  • Coordinate room bookings, travel and hotel management, catering, AV setup, and materials for internal and external meetings, workshops, and events.

  • Manage stock levels for office supplies, stationery, kitchen provisions, and IT peripherals; manage purchase orders and vendor deliveries.

  • Assist with health and safety procedures, with training provided to be a fire warden.

  • Act as the primary administrator for the internal IT helpdesk/ticketing system, logging, triaging, and prioritizing requests.

  • Escalate complex technical tickets to external IT partners or specialist technical leads, tracking issues through to resolution.

  • Assist with onboarding and offboarding tech logistics, including issuing hardware, setting up user accounts, and collecting equipment.

Operational Support & Administration

  • Provide ad-hoc administrative support to the broader operations, People and Culture, and leadership teams as required.

  • Handle general incoming inquiries in person, via email or post, and the shared administrative inbox.

  • Support administration of operational spend, including credit card reconciliations, and online purchasing account management.

  • Provide internal communications for any operational updates, projects or alerts.

Person Specification

  • Administrative Experience: Proven experience in a fast-paced administrative, operations, or office support role.

  • Ability to work from HQ: This role is required to work in person on site at our London HQ 4 days per week.

  • Data Accuracy: High attention to detail with demonstrated experience in data entry and spreadsheet maintenance (e.g., MS Excel, Google Sheets).

  • Organisational Skills: Outstanding time management, task prioritisation, and multi-tasking skills under minimal supervision.

  • Communication & Collaboration: Excellent written and verbal communication skills with a professional customer-service approach to internal and external stakeholders.

  • Problem-Solving: Proactive, adaptable mindset with a natural aptitude for resolving practical and logistical challenges.

  • Experience using modern ticketing systems, primarily Connect.

  • Prior experience dealing with facilities management, equipment inventories, or office supply procurement.

  • Understanding of data protection principles (GDPR). Training will also be provided.

  • First Aid or Fire Warden qualification (or willingness to train).
