Conveyancing Assistant

About the Role
An established and growing legal practice is looking for a Conveyancing Assistant to join its busy and supportive Conveyancing team.
This is an excellent opportunity for an organised and detail-focused individual to provide administrative and transactional support across a varied residential conveyancing caseload. You will work closely with the wider team to ensure files progress efficiently and clients receive a professional and responsive service.
Key Responsibilities
- Providing day-to-day administrative support to the Conveyancing team
- Opening, maintaining and closing client files accurately
- Managing incoming post and ensuring correspondence is allocated correctly
- Supporting sale files from initial instruction through to completion
- Assisting with sale enquiries and mortgage redemption's
- Supporting the exchange and completion process
- Preparing completion statements and assisting with completion monies
- Liaising with clients, lenders, solicitors and other third parties
- Providing regular updates and responding to client queries
- Preparing completion letters and associated documentation
- Assisting with requisitions and Certificates of Title
- Issuing contract packs for sale files
- Managing requests for money on account
- Regularly chasing outstanding matters to ensure files continue to progress
- Assisting with the management of the LMS and Lender Exchange portals
- Ensuring files are properly closed with a nil balance
- Processing interim and final bills
- Providing additional support across the department during busy periods and covering colleagues during annual leave
- Managing client appointments and incoming telephone calls
About You
- Excellent written and verbal communication skills
- Strong attention to detail
- Good organisational and time-management skills
- The ability to manage competing priorities and meet deadlines
- A professional and calm approach when dealing with clients
- Good knowledge of Microsoft Word, Excel and Outlook
- Experience using a legal case management system
- Previous experience processing bills
- An understanding of legal terminology and conveyancing processes
- The ability to work independently while also contributing effectively to a wider team
