Managing diaries, rescheduling appointments when required and keeping all parties informed will form a key part of your day-to-day responsibilities. You'll also support compliance activities by processing Gas Safe notifications, warranty documentation and installation completion paperwork, while preparing installation packs and client reports as needed. What you’ll be doing You’ll be responsible for scheduling and coordinating engineering activities across our gas installations contracts, managing changing priorities, tracking job progress and ensuring work is completed within agreed timescales. You’ll work closely with engineers to confirm availability and completion dates, while also maintaining accurate records and updating schedules as requirements change. Providing excellent customer service will be at the heart of what you do, with a focus on resolving issues quickly, handling complaints professionally and ensuring customers remain informed throughout their journey.

  • Maintaining internal systems, ensuring job records are up to date and complete
  • Monitoring outstanding works and proactively following up on incomplete jobs.
  • Assist with invoice processing and finance-related administration while working closely with both operational and management teams to ensure a seamless service is delivered

Providing an exceptional customer experience is central to the role. You'll handle customer enquiries professionally, resolve issues wherever possible and escalade concerns appropriately, ensuring customers remain informed and supported throughout the installation process.

Previous contract administration or similar administrative experience, ideally gained within the gas, energy, construction, maintenance or social housing sectors. You'll be a confident communicator who enjoys building relationships with a wide range of stakeholders, from residents and clients to engineers and senior management. You'll be highly organised, able to manage competing priorities and comfortable working under pressure in a busy environment with strong problem-solving skills, a flexible and adaptable approach, and a willingness to take ownership of tasks. In addition, you'll also be confident using Microsoft Office applications, including Word and Excel, and able to learn new systems quickly
