Location and Working Hours

Dumfries & Galloway Royal Infirmary, Dumfries, DG2 8PS

Full time – 37.5 hours per week. Monday-Friday 0800-1600 hours.

Salary and Benefits

Salary - £25,000 - £28,000 depending on experience plus basic Serco benefits.

Role Overview

To liaise with visitors, clients, and staff by greeting, welcoming, and directing them appropriately in a professional and polite manner.

To provide a customer-focused service, dealing with all customer requests, responding to calls in a timely fashion, and ensuring complaints are dealt with efficiently and sensitively, while maintaining appropriate records.

This active and visible role requires excellent customer relationship and administrative skills. The Contract Administrator will support the Performance Manager and provide excellent customer-focused and administrative support as part of a team.

Main Responsibilities
  • Provide administrative and business support to the team, managing service issues and ensuring good customer service.
  • Raise work orders for remedials as requested by Senior Technicians.
  • Monitor and update all work orders as required.
  • Collate documents for lifecycle claims and update trackers.
  • Raise purchase orders and liaise with suppliers regarding lead times.
  • Log incidents on Assure, the Health & Safety platform, and update as required.
  • Maintain and update databases.
  • Support in producing and delivering reports under the Contract.
  • Support operational activities as part of a team.
  • Manage various tasks and plan accordingly.
  • Complete standard or non-standard tasks within own area.
Candidate Requirements
  • Good verbal and written communication skills.
  • Computer literate, with good knowledge of Microsoft Office programs (Outlook, Word, Excel, PowerPoint, Publisher).
  • Organized with high attention to detail.
  • Able to manage competing priorities.
  • Effective team player.
  • Recognized qualification in office administration or relevant experience.
  • Strong interpersonal skills.
