Orica Limited in Stowmarket is seeking a Commercial Operations Coordinator to provide hands-on operational, commercial and administrative support across Sales, Production, Finance and Logistics. You will coordinate orders, quotations, shipments and documentation from request to completion while maintaining strong cross-functional communication.

This role requires practical experience with orders, invoices, POs and shipping docs, along with ERP/CRM familiarity and excellent English communication.

Qualifications

  • At least 3 years in sales/admin/operations support or similar.
  • Experience processing orders, invoices, POs, shipping docs and customer records.
  • ERA/CRM experience; Epicor is advantageous.
  • Strong organization and time-management skills.
  • Excellent written and verbal English.

Responsibilities

  • Coordinate customer orders from receipt to delivery, including order entry and tracking.
  • Support enquiries, quotations, opportunity follow-up and admin with Sales/BD.
  • Raise and distribute invoices; maintain records in Epicor and filing systems.
  • Prepare shipping docs and arrange domestic/international collections with freight providers.
  • Liaise with Production, Sales, Finance and Canada for updates and issue resolution.
  • Follow up overdue invoices and support credit applications.
  • Raise POs, stock replenishment requests and drop-ship transactions.
  • Administer rental/demonstration equipment and calibration certs.
  • Support vendor onboarding and health and safety records.

About the role

The Commercial Operations Coordinator provides operational, commercial and administrative support to the UK business, acting as a key link between Sales, Business Development, Production, Customer Support, Logistics and Finance. Based in Stowmarket, this office-based role coordinates customer orders, quotations, shipments, invoicing, purchasing, rental fleet activities and customer documentation from request through to completion. You will be a trusted point of coordination for customers and colleagues in the UK and Canada, keeping commercial activities moving, resolving issues and providing clear updates. This is a hands‑on role for an organised and solutions‑focused professional who takes ownership, works confidently at pace and looks for practical ways to improve processes and customer service.

What you will be doing
  • Coordinate customer orders from receipt through to delivery, including order entry, progression, changes and open-order tracking.
  • Support customer enquiries, quotations, opportunity follow-up and commercial administration in partnership with Business Development and Inside Sales.
  • Raise and distribute proforma and commercial invoices, and maintain accurate records in Epicor and company filing systems.
  • Prepare shipping and dispatch documentation and arrange domestic and international collections with approved freight providers.
  • Liaise with Production, Sales, Finance and colleagues in Canada to provide updates, resolve issues and keep orders on track.
  • Support customer credit applications, monitor Finance requests and professionally follow up overdue customer invoices.
  • Raise internal purchase orders, stock replenishment requests and drop‑ship transactions for customer‑specific requirements.
  • Administer rental and demonstration equipment, including rental agreements, movement tracking and calibration certification.
  • Support customer returns, supplier onboarding, vendor registration and related operational administration.
  • Coordinate office supplies, service contracts, contractor visits and required Health and Safety records and inspections.
  • Build strong cross‑functional relationships and communicate clearly by email, phone and Microsoft Teams.
  • Identify inefficiencies, constructively challenge existing practices and implement improvements that enhance accuracy, responsiveness and customer experience.
  • Complete all activities in line with company procedures, compliance requirements and safety standards.
What you will bring
  • At least 3 years of experience in sales administration, commercial administration, operations administration, customer service administration or a similar business support role.
  • Practical experience processing customer orders, quotations, invoices, purchase orders, shipping documents and customer records.
  • Experience using an ERP or CRM system to manage quotations, orders and customer information. Epicor experience is advantageous but not essential.
  • Strong organisation and time‑management skills, with the ability to prioritise a varied workload and respond effectively to changing demands.
  • Confident, professional communication skills across email, telephone and Microsoft Teams, including customer invoice follow‑up.
  • A high level of accuracy, attention to detail and commitment to maintaining reliable business records.
  • Sound problem‑solving and decision‑making skills, with the confidence to work independently and ask for support when needed.
  • Proficiency in Microsoft Office, particularly Excel, Outlook and Word.
  • Excellent written and verbal English.

It would be advantageous to have:

  • Experience coordinating logistics, freight, import or export documentation, or supply chain administration.
  • Exposure to accounts receivable, credit control, customer credit applications or finance administration.
  • Experience administering rental assets, demonstration equipment or equipment fleets.
  • Experience supporting Health and Safety compliance activities.
  • Experience in a manufacturing, engineering, industrial, mining, instrumentation or technical-products environment.
