Betsi Cadwaladr University Health Board (BCUHB) in North Wales is seeking a capable Medical Secretary to provide high-quality administrative support to consultants, medical teams and nursing staff, coordinating patient pathways in line with Cervical Screening Wales.

The role requires excellent typing, strong organisational abilities and proficiency with Microsoft Office; Welsh language ability is desirable and applications may be submitted in Welsh.

Qualifications

  • NVQ Business administration Level 4 or equivalent.
  • City & Guilds AMSPAR Level 3 or Diploma in Medical Administration or equivalent medical secretary experience.
  • RSA/OCR Level 3 or equivalent experience or qualification in typing.

Responsibilities

  • Support KPIs by prioritising workloads and escalating as needed.
  • Convey findings and promote service delivery improvements.
  • Handle relevant correspondence, calls and enquiries efficiently.
  • Assist in training new staff and developing the secretarial team.
  • Coordinate duties remotely when applicable across locations.

Job Overview

To provide a comprehensive, high quality medical secretarial and administrative service to the consultant their medical team and specialist nursing teams, and other health professionals. To co-ordinate and maintain arrangements to facilitate the patients progression along a defined pathway in accordance with Cervical Screening Wales. To maintain the colposcopy organisation and monitor the workload related to the administration team, co-ordinating administration cover during periods of leave across the team.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Main duties of the job

Working with the team the post holder will support the key performance indicators that have been set for each speciality and make decisions in prioritising workloads and agree escalation procedures to meet these key performance indicators. Convey these findings and be proactive in taking forward recommendations and improvements to the service delivery. Post holder will deal with relevant correspondence, telephone or personal enquiries efficiently and effectively. Contribute to projects or duties to ensure excellent service delivery as directed by the Line Manager, Consultant or other colleagues. The post holder will provide assistance in the training of new starters and development of secretarial team members promoting and building positive relationships within the medical secretarial team, patients and service users and all BCU employees. When applicable have the ability to coordinate duties and tasks remotely as a Medical secretary could be at various locations across the Health Board. Work with the line manager to instigate/agree escalation procedures where standards fall below a satisfactory level and agree new interim Key Performance Indicators. The post holder will be expected to undertake any additional duties and responsibilities to ensure that service delivery is effectively
