Job summary

University Hospitals Dorset NHS Foundation Trust is seeking a Medical Secretary for the Colposcopy Service. This NHS Band 4 role provides high-quality secretarial and administrative support to Consultants and the Colposcopy Service, ensuring smooth patient care.

You will manage diaries, prepare letters, handle patient inquiries with sensitivity, and liaise with clinical teams to coordinate care. This role offers a collaborative NHS environment within a three-site trust.

Qualifications

  • GCSE Maths and English required.
  • Experience handling public and sensitive information.
  • Knowledge of hospital systems EPR, e-Camis and Soliton.

Responsibilities

  • Efficiently manage the electronic appointment diary and scheduling.
  • Provide comprehensive secretarial support including typing, filing, and letters.
  • Handle diverse queries from patients and clinicians with customer service.
  • Be a main contact for patients via in-person, email, and phone.
  • Communicate confidential information with professionalism.
  • Collaborate with Consultants and medical staff to support patient care.

Main duties of the job
  • Efficiently manage the electronic appointment diary and coordinate all scheduling for consultations.
  • Provide comprehensive secretarial support, including word processing, filing, audio-typing, photocopying, and composing sensitive letters.
  • Handle complex and varied queries from patients, clinicians, and external parties, offering excellent customer service.
  • Be a key point of contact for patients, answering inquiries in person, via email, and over the phone.
  • Communicate difficult, sensitive, and confidential information with professionalism and tact, especially when speaking with anxious or distressed patients and their families.
  • Work closely with Consultants and medical staff, ensuring they have the information and responses they need for patient care and ongoing treatment
