Job description

You will coordinate the clinical diary and schedule appointments. This requires communication between service users, external stakeholders, clinicians, and the internal team of clinical administrators.

Main duties of the job
  1. Monitoring clinician diaries and scheduling appointments.
  2. Monitoring patient lists to ensure all appointments are offered and completed within the specified time frame.
  3. Responding to new enquiries and providing relevant service information.
  4. Following up on enquiries and tracking the enquiry conversion rate, working towards service targets.
  5. Updating NHS System One and assisting with setting up accounts for new users.
  6. Handling complaints and patient sensitivities.
  7. Proofreading, finalising, and emailing assessment reports.
  8. Managing emails between NMPs, clients, and GPs.
  9. Monitoring the long waiters list and resolving related issues.
  10. Collecting and distributing post and new referrals.
  11. Maintaining a monthly log of all new referrals.
  12. Covering colleagues' work during leave or illness and managing capacity issues.
  13. Discharging patients once assessments are complete.
  14. Referring patients to post-diagnostic support services where appropriate.
  15. Inputting data and uploading case documentation to the in-house database.
  16. Liaising with external contacts, such as schools.
  17. Booking internal and external clinic rooms as required.
  18. Training and supervising new team members.

  • At least 1 year of office experience
  • Ability to work in a team
  • Knowledge of MS Word and Outlook
  • Reliable and dependable

  • A levels or equivalent
  • Previous admin/support experience
  • Background in psychology or mental health services
  • Keen interest in supporting neurodiverse individuals
